Contract Administrator

Job Description

Jai Ambe Services is currently seeking a highly organised and detail-oriented Contract Administrator to oversee the full lifecycle of contractual agreements within our commercial cleaning operations. This position plays a critical role in ensuring adherence to legal and regulatory standards, maintaining accuracy throughout tendering processes, and facilitating effective communication with internal and external stakeholders.

Benefits

Salary range : $70,000-$80,000 per annum + Superannuation.

Task & Responsibilities

• Coordinate and administer cleaning service contracts for commercial and industrial sites, ensuring all contractual terms, KPIs, and service schedules are met.
• Liaise with clients, site supervisors, cleaners, and management to facilitate smooth day-to-day operations under each contract.
• Assist in preparing, reviewing, and maintaining service agreements, work orders, variations, and extensions to ensure accuracy and compliance with company standards.
• Monitor contract performance, timelines, deliverables, and quality standards; identify variations and ensure appropriate documentation and approvals are obtained.
• Support tendering and quoting processes for new and renewed contracts, including collating documents, preparing cost breakdowns, and assisting in bid submissions.
• Maintain detailed contract registers, correspondence, compliance records, and reporting systems for internal and external audits.
• Coordinate subcontractors and suppliers, ensuring they meet insurance, WHS, and contractual obligations.
• Manage invoicing and progress claims in line with contract schedules; track payments and follow up on outstanding claims with accounts.
• Provide administrative and logistical support to the operations team for scheduling, rostering, site inductions, and resource allocation.
• Ensure all work carried out under contracts complies with legislative obligations, workplace health and safety regulations, and relevant award conditions.
