Job Description
Are you a highly organised and proactive professional looking for your next challenge? We’re excited to offer a 12-month contract for an Executive Assistant to join the Code Compliance and Monitoring Team at AFCA.
In this role, you’ll provide critical administrative and secretariat support to the General Manager – Code Compliance and Monitoring , the Code Compliance Committee , and broader stakeholders. Other key relationships will include code subscribers, industry association staff, external vendors and other staff across AFCA.
Key Responsibilities :
- Proactively manage busy diaries and seamlessly coordinate travel and meetings.
- Coordinate and deliver Code events and Committee meetings end-to-end, including scheduling, logistics, documentation, and follow-up, to ensure they run smoothly and effectively.
- Produce high-quality minutes that capture clear decisions, actions and accountabilities for Committee and Executive meetings. This includes leveraging AI.
- Coordinate, quality-check and prepare briefing papers for the General Manager, ensuring information is accurate, timely and fit for purpose.
- Draft clear, professional correspondence on behalf of the General Manager and Code Committees, representing the Code team with professionalism.
- Maintain accurate records and systems—including reports, correspondence, minutes and materials—so the Code team has a reliable and accessible records.
- Provide responsive, professional service by ensuring timely and accurate responses to enquiries from Committees and stakeholders.
- Support financial processes by reconciling statements and preparing invoices for General Manager approval in line with compliance requirements.
- Contribute flexibly and collaboratively to broader team priorities through additional administrative and project support as required
- Support onboarding and induction for new Committee members
