This temporary vacancy is open to Expressions of Interest and any extensions to this appointment will not exceed 12 months.

About the Opportunity

As the Facilities Services Officer - Correspondence you will process documents accurately, in accordance with the electronic records management systems, and search electronic and paper records for information and documents required by clients to ensure that requests are processed promptly.

About the Role

The Facilities Services Officer - Correspondence will have responsibility for (but not limited to) the following :

  • Contribute to the development and refinement of procedures, systems and standards by providing both formal and informal feedback on implementation issues and quality assurance processes.
  • Assist in the preparation and processing of responses to sensitive and confidential correspondence directed to the Office of the Assistant Director-General Infrastructure Services, providing a high level of service and a continuous flow of work in line with departmental standards.
  • Respond to inquiries emanating from within and external to Infrastructure Services Branch in a courteous manner and within appropriate timelines.
  • Liaise with officers at all levels of the department, other government agencies, educational institutions and organisations, the private sector and community representatives.
  • Liaise with the Correspondence Manager to ensure a continuous flow of work, to clarify objectives and to monitor and finalise tasks.
  • Assist in providing reports to assist in the management of executive records.

What You Need to Succeed

  • The position will suit someone who has
  • Knowledge of, and proven ability in, the use of and maintenance of computerised information and records managements systems.
  • Demonstrated word processing skills, editing correspondence and documents, and the ability to ensure required departmental standards are met.
  • Ability to build and sustain positive relationships in a team environment whilst providing a high level standard of administrative services and support to the team.
  • Proven ability to prioritise and schedule work, meet predetermined deadlines and maintain confidentiality.
  • Demonstrated communication skills, including the ability to liaise, negotiate and consult with staff at all levels, and with external agencies.
  • A brief resume including contact details for 2 referees (one of whom should be your current supervisor).
  • A maximum 1 page cover letter outlining your suitability for the role.
  • When working in regulated employment an employee must have a current Working with Children Clearance (blue card) issued by Blue Card Services.
