King's Own Institute (KOI) is a leading private institution of higher education located in central Sydney and Newcastle, Australia, offering high quality accredited diploma, undergraduate and postgraduate courses in Accounting, Business, Management, Information Technology (IT) and postgraduate courses in TESOL (Teaching English to Speakers of Other Languages).
Purpose To provide a broad range of administrative services and functions relating to students' program enrolments and completions. Working as part of the Student Services team, this position has responsibilities for key administrative processes and events to ensure that the Student Services team fulfils its reporting requirements under the ESOS Framework.
Responsibilities
- Assess / review / recommend COE variation i.e. deferment of studies, COE extension, COE duration reduction.
- Ensure that COE course variations are reported consistent with the PRISMS Provider User Guide.
- Ensure that COE course variations are reported within the required timeframe as per the ESOS reporting requirements.
- Recording, updating and managing student records (electronic & hardcopy).
- Maintenance of student files (electronic & hardcopy).
- Conducting checks and compiling information to confirm the accuracy of student data.
- Provide student support from enrolment through completion.
- Reporting on student and course data as required by Management staff.
- Assessing payment extension and enrolment extensions requests from students consistent with the agreed guidelines as determined by the Vice President (Student Affairs).
- Answer escalated enquiries from current students, including guidance with attendance, assignment deadlines, trimester breaks, leave (medical, compassionate, medical certificates), timetable, academic and graduation.
- Assist the Senior Student Services Manager / Student Services Coordinator – Progression & Completion with developing intervention plans for students at risk, when necessary.
- Monitor and follow-up enrolments for new and continuing students to ensure adherence to study plans.
- In conjunction with the Senior Student Services Manager and the Student Services Coordinator, manage the activities and functions of the Student Services team to ensure that tasks and responsibilities are successfully achieved.
As required :
Interview, manage and maintain student record regarding break in studies and trimester breaks.Inform and update subject enrolment status, activation and deactivation of student Moodle accounts.Participate in recommended development and training (including Cultural & Diversity Awareness, Compliance and TEQSA requirements).A minimum of two (2) years' experience in a similar position at other higher education and / or tertiary education providersProficient in reading and writingExperience working with international studentsMinimum of 3 years' experience either within an education sectorKnowledge of Department of Home Affairs (DHA) regulations (in relation to visas) and ESOS regulations relating to the higher education sector / providersReside in Sydney, NSWHave unrestricted working rightsIf this sounds like you and you are ready to take your career to the next level, please send through your CV and cover letter to our HR Department.
