The Opportunity An opportunity now exists to manage & deliver School Operations with a focus on front office, internal and external MBS events and classes, onsite and offsite accommodation management, facilities, departmental financial management and security services at the School to a level that reflects the School's global standing. The position is the primary interface between the Operations team, contractors and key MBS stakeholders (internal and external clients) and as such will be responsible for providing professional venue and event operational support to ensure the smooth running of the School. This also includes management of a highly effective facilities and building management team to ensure the overall presentation and maintenance of the School is at a consistently high standard.

The position manages a varied team including Reception, Facilities and Bookings across a 7-day week, and supports the catering and conference teams. As the successful candidate, you will work closely with various stakeholders across the School to ensure that service delivery is maintained at a superior standard.

Some key accountabilities will also include :

Maintaining an effective, skilled and welcoming FOH team (reception and concierge) including scheduling, recruitment, training and general supervisionLead the daily briefing with catering and facilities staff and ensure specific events and functions information is effectively communicatedManagement of all hotel, lecture theatre, dining and meeting room reservations to maximise capacity and increase productivity, whilst coordinating with the School's academic calendar and teaching delivery needsEnd to end coordination of bookings for all School events, short courses, custom and degree programsKey delivery contact in project planning to significant School events, graduation, reunion events etcSupporting the conference and catering teamsManagement of all departmental budgets and P&L management including annual capex and building improvement budgetsWorking with the General Manager – Operations to ensure financial objectives are achievedManagement and delivery of facility support services, including print services to all School staff, students and where appropriate, visitorsManagement of facilities and security rostersTriaging of helpdesk and facilities requests and escalating to third-party contractors as requiredManagement and administration of the access control system, CCTV system and associated vendors for secure keys and doorsEnsuring that the Facilities, building maintenance, capital works and associated budgets are controlled and managed as agreedManagement of the facilities, reception and bookings teams to enable continuous improvementAbout you As a dynamic and highly organised leader, you will bring to us significant experience gained in either a venue operations or event management capacity including some exposure to supervising a facilities function. Your understanding of and demonstrated experience in contract management and associated service delivery levels will be greatly beneficial.
