We currently have an exciting opportunity for a values-driven and proactive Business Operational Support, reporting to the Regional Administration Coordinator.

Why this role matters

The Salvation Army Australia's Family Violence Stream provides a wide range of services around the country to support women and women with children impacted by family and domestic violence. We offer refuge, children's and parenting services, counselling, support, men's programs, accommodation and advice to women and children who are experiencing, or who have experienced, family violence.

About the role

We currently have an exciting opportunity for a values-driven and proactive Business Operational Support, reporting to the Regional Administration Coordinator at our Family Violence Service in Melton. This position is instrumental in managing an effective delivery of high-quality administration support to a service that aids Family Violence clients with a range and combination of complex needs.

You will successfully

  • Support the day-to-day operations of the office to ensure site processes are in line with and meet the requirements of the Salvation Army policies and procedures
  • Maintain a high level of communication when receiving phone calls and produce high quality correspondence, reports, and other documents
  • Provide administrative support to Management and staff onsite
  • Ensure building and office equipment is in good working order and organise for servicing and / or maintenance and / or purchasing
  • Be the IT Site Administrator
  • Screen, process and distribute mails and ensuring items requiring urgent attention are appropriately flagged for immediate attention whilst ensuring confidentiality
  • Coordination across all stream managers to ensure consistency with processes and procedures
  • Screen incoming calls and take appropriate actions as required to manage enquiries effectively
  • Professionally manage visitors in a courteous, efficient, and friendly but not intrusive manner
  • Organise contractors to ensure maintenance issues are addressed in a timely manner
  • This is a permanent part time position, 19 hours per week. Salary and conditions are in accordance with the Social, Community, Home Care and Disability Services Award, Clerks Level 3.

    You will have

  • Relevant Business qualification such as Certificate IV or Diploma in Business Administration (desired)
  • Demonstrated experience in reception / administration responsibilities
  • Experience in working for NFP and family violence sector (desired)
  • Well-developed interpersonal and excellent verbal and written communication skills with the ability to liaise and build strong relationships with a diverse range of stakeholders
  • High attention to detail with proven ability to maintain confidentiality of service users and professionally handle sensitive data and information
  • Demonstrated time management and organisational skills with a proven ability to clarify roles and responsibilities of self and team members whilst monitor task completion to ensure objectives and priorities are met
  • Knowledge of health and safety responsibilities and commitment to performing duties in a safe manner to ensure safety of self and others
  • A current VIC Drivers Licence
  • Valid VIC Employee Working with Children Check
  • Ability to provide proof of Eligibility to Work in Australia
