  • The opportunity
  • You'll be a team player with excellent communication skills and high emotional intelligence, and love building and maintaining relationships with key stakeholders around the business. You're a quick learner and comfortable in a fast-paced environment. You're always looking for new ways to make things more efficient and solving problems in scalable ways making sure things get done the smart way, not the hard way.

    You've got great attention to detail, are highly organised, and have excellent verbal and written communication skills. You're comfortable building out all sorts of communications - from written communications to presentations. You've got experience working with, and being a trusted partner to, a Leadership team, and you're comfortable handling sensitive and confidential information. You're happy to roll up your sleeves with any task towards the bigger picture, with no task being too small if it makes the team around you more effective.

  • The role
  • The Executive Assistant will provide high-level, day-to-day professional and confidential secretarial, administrative and organisational support. The responsibilities include :

  • Positive Communication : Engage proactively and professionally as the interface for the Executive team with internal and external stakeholders.
  • Time management : Ensuring that the Lead's time is used efficiently through calendar management, coordinating meetings and tracking action items and follow-ups.
  • Meeting preparation : Preparing for meetings by coordinating and assisting in building any materials and research (agendas, minutes, papers).
  • Travel planning : Planning for travel by handling both logístical travel arrangements and trip itineraries.
  • Events : Plan, organise and coordinate company events both within the offices and at selected venues (Christmas parties, client functions and lunches, boardroom dinners, in-house celebrations)
  • Team activities : Organising celebrations, gifts and off-sites, ensuring everyone is empowered to do the best work of their life and having the best time doing it.
  • Assist with reception coverage at Head Office when required.
  • About you
  • 5+ years of Executive Assistant experience
  • Experience working in the construction industry is nice to have but not essential.
  • Proficiency in Microsoft Office suite - (Word, PowerPoint, Excel, Outlook).
  • Experience in scheduling and coordinating events, meetings, dinners etc.
  • Flexible and adaptable to support the Executive Team.
  • Excellent written and verbal communication skills, with high attention to detail.
  • A proactive and motivated attitude with a willingness to develop and learn new skills.
  • An organised person with the ability to multi-task to ensure deadlines and the Executive Team's priorities are met or exceeded.
  • Ability to work autonomously and maintain a busy office environment.
  • A pleasant and approachable manner with internal and external stakeholders.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional discretion, including discrete handling of sensitive information.
