Community Engagement Coordinator
POSITION TITLE Community Engagement Coordinator
CONDITIONS A permanent part-time position (0.6 FTE).
Generally during school term time (46 weeks per year), although
some out of hours work including evenings, holidays and weekend
is required, as appropriate to the role.
CLASSIFICATION School Services Staff Grade 3
REPORTS TO All staff report to the Principal. The Community Engagement
Coordinator reports through the Director of Marketing and
Community Engagement.
Role Description
- The Community Engagement Coordinator is a highly organised, relational person responsible for building
- positive and productive relationships with key stakeholders across all areas of the School.
- They are a key member of the Marketing and Community Engagement team, responsible for creating
- and maintaining positive relationships with members of voluntary groups associated with the School,
- including the Old Scholars' Association (OSA) and the Parent Teacher Association (PTA). They are the
- first point of contact for alumnae and PTA members. The Community Engagement Coordinator is
- responsible for the smooth running of School community events and contributes to the functions of
- communications, public relations, enrolments, marketing and fundraising. The role requires outstanding
- communication skills, the capacity to build and sustain positive relationships, meticulous attention to
- detail, and a love of working alongside our community.

Community Engagement- Attend PTA and OSA meetings.Assist the PTA and OSA Committees with administrative support including creating membershipcertificates, ticketing and receiving payments, banking, agenda and minutes distribution.- Assist the Parent Rowing Committee and Friends of Music with committee nominations.Manage the Old Scholar database and ensure records are updated correctly and in a timely manner.Extract information and create reports from the Synergetic database when required.Assist the Director of Marketing and Community Engagement with content, editing and productionof the community sections in Jewell, other publications, and for social and digital media.- Coordinate the annual Old Scholars' Week program.Manage all Old Scholars' School reunions including liaison with convenors, invitations, programs andcatering arrangements. Attend Old Scholar reunion tours, when required.- Coordinate overseas and interstate community and Old Scholars' dinners.Liaise with the Marketing and Communications Specialist to support social media and digitalcommunications for the School, PTA and OSA.- Coordinate the annual class representative program.Provide event management and general administrative support for PTA and Old Scholars' functions.Support the Head of Enrolments and PTA Committee in developing the buddy program for newparents.- Support the Head of Enrolments in organising school tours and orientation days including 'meet andgreet' when required. This includes preparing prospectus packs, new student files, catering
requirements and name tags.
Provide administration support to the Director of Marketing and Community Engagement whenrequired.
Fundraising and Philanthropy- Assist the Director of Marketing and Community Engagement in the identification, planning and
implementation of fundraising and friend-raising events.- Coordinate the distribution of material for fundraising functions e.g., invitations, posters, flyers,catalogues.- Receive, record and receipt Annual Giving appeal donations.Undertake donor data collection, list creation and analysis as required.Community Events- Identify the objectives of a planned event and determine the requirements that must be met to
accomplish those objectives.- Create and implement event procedures to assist in the smooth running of all community events.Ensure all community events are added to the School calendar and the appropriate people havebeen informed / invited to attend.- Ensure community events are within budget.Liaise with the Property Service Manager to plan, set up and pack down procedures andrequirements (e.g. glassware, cutlery, crockery, and beverages) and to schedule any necessary
labour.
