Dental Office Receptionist and Administrative Assistant
You will be responsible for managing daily operations, ensuring the smooth functioning of the office, and providing exceptional patient care. This role includes administrative duties, patient communication, equipment management, and supporting dental staff.
Key Responsibilities :
- Patient Management
- Managing Dental for Windows Software
- Pre-make 6-monthly appointments and manage family member appointments.
- Ensure all patients fill out a new medical history form every 12 months.
- Demonstrate empathy for patients and build a keen rapport to enhance patient relationships.
- Book Filling and Patient Outreach
- Primary goal is filling the appointment books and ensuring patient retention.
- Be comfortable ringing patients and encouraging them to book appointments.
- Proactively go through monthly recall lists and follow up a week later to encourage patients to come in.
- Review the appointment book to identify patients with family members who have not been seen and book them as well.
- Treatment Plan Coordination
- Understand the basics of dental care and discuss the importance of treatments
- Ensure patients are informed about their treatment options and the benefits of timely care.
- Process payments and co-ordinate bookings and rebookings
- Discuss treatment plans with Dentists and co-ordinate further patient bookings
- Administrative Duties
- Send courtesy texts and manage patient notes using Text Magic and D4W.
- Manage patient files, including scanning and saving specialist letters and patient documents.
- Accept deliveries, scan invoices, photograph order list
- Sterilisation Duties
- Ensure infection control protocols are adhered to
- Ensurre all biological tests have been undertaken by nursing staff
- Ensure sterilisation is up to date, help nursing staff with duties if they are running behind
- Ensure all trays are prepared for upcoming appointments
- Office Maintenance
- Ensure all areas of the office are clean, tidy, and well-stocked, including the reception desk, kitchen, and bathrooms.
- Ensure all areas have been - vacuumed, mopped daily surgery floors, and all bins emptied as required by nursing staff.
- Ensure - end-of-day tasks such as turning off air conditioners and locking doors has been completed.
- Weekly and Monthly Tasks
- Ensure all equipment maintenance checks are preformed by nursing staff and checked off.
- Ensure all end of month checks are completed and signed off
- Ensure all sterilisation documentation is scanned monthly
- Communication
- Maintain clear and open communication with patients, staff, and management.
- Address patient queries and concerns promptly and professionally.
- Ensure all patient communications are documented accurately.
- Qualifications
- Excellent organizational and multitasking skills.
- Dental for Windows Experience
- Excellent telephone skills
- Empathy for patients and the ability to build a strong rapport with them.
- Strong communication skills, both written and verbal.
- Ability to use office software and equipment management systems.
- Attention to detail and a high level of accuracy.
- Ability to work independently and as part of a team.
- Basic understanding of dental procedures and the ability to discuss treatment plans with patients.
- Empathy for patients and the ability to build a strong rapport with them.
- Excellent telephone skills
