    Our Office Operations team is at the heart of ensuring the smooth and efficient functioning of the Firm's day-to-day operations. Our team manages the infrastructure, systems, and services both globally and locally relating to our office workplaces, onsite and remote operational services, security, safety, and a range of other areas. We provide Practice Assistant support and manage document production, translation, and travel services. Our team is responsible for our client-facing areas across the Firm, always seeking to ensure that clients and other visitors have an experience that is world-class. We also take the lead in running our day-to-day operations in the most environmentally sustainable way possible.

    • Key responsibilities
    • Provide comprehensive administrative support to partners and lawyers, including but not limited to, diary management, event planning, handling calls, coordinating and supporting all travel-related needs, and corporate card expense reconciliation and processing.
    • Complete daily time entry for one partner and assist with generating ad-hoc time reports on billable and non-billable (e.g., pro bono work) hours.
    • Prepare weekly WIP updates and attend to client matter maintenance and reporting.
    • Prepare and coordinate legal documents, correspondence, and communication, etc., including some direct communication with clients when organising meetings and events)
    • Working with the Billing and Revenue teams in relation to invoicing and collections, ensuring accuracy of client invoices and facilitating updates when required
    • Submission of information for matter creation and to facilitate conflict clearance.
    • Working with the Business Development team in relation to client connections and facilitating regular updates of the CRM database
    • The skills and attributes we are looking for
    • Experience in supporting partners and lawyers in a law firm is preferred but not mandatory.
    • High level of proficiency with the Microsoft 365 suite, especially Outlook, Word, Teams, PowerPoint and Excel
    • Experience in booking and coordinating both domestic and international travel.
    • Proactive, positive, and can-do approach
    • Professional telephone manner
    • Excellent organisation and time management
    • Ability to work in a high-paced environment.
    • Good judgment asks questions and has strong communication skills.
    • High level of integrity and diligence
    • Ability to build and maintain strong relationships.
