Position Overview Working to the Chief Financial Officer (CFO), the role of the Executive Assistant (EA) is varied and covers a full range of executive and administrative support services. Its key responsibility is to provide high-level administrative support and coordinate the section's activities in relation to reporting, people and budget requirements. In addition, the role will also support the provision of secretariate functions for the Audit Committee.
Major Activities Executive Support
Manage the day-to-day operations of the offices of the CFO, including telephone, calendar, travel and e-mail.Liaise with staff across the Court to coordinate section activities.Plan and coordinate section meetings including preparing correspondences, collating and disseminating agenda and papers, arranging travel, taking minutes, and monitoring follow-up actions.Assist the CFO in preparing presentations for meetings involving Executive Management, Judges and staff, as well as collation of information and date for newsletters and reporting dashboards.Assist in investigating and managing expense reporting for the section.Provide miscellaneous administrative support to the CFO in the performance and recording of special project work.Undertake minor research tasks, and prepare routine correspondence, response and reports.Maintain, review and update general administrative systems and procedures.Act as point of contact for the Branch intranet page.Other duties as directed.Reporting and Compliance
Coordinate the preparation and distribution of routine reports and meeting agendas and disseminate copies to the relevant stakeholders.Assist in the preparation of input to the Annual Report and the Corporate Plan and Budget.Other duties as directed.Audit Committee Secretariate
Assist the CFO and the Risk & Audit Advisor in preparing routine correspondence, response and reports.Assist in drafting meeting agendas, chasing up papers for distribution, and preparing and collating papers for pre meeting review.Assist in drafting final meeting agenda, preparing and distributing papers.Record minutes of meetings.Prepare minutes of meetings for review, circulate for feedback and finalisation.Other duties as directed.Competencies & Attributes This is a very busy role with a wide range of tasks and responsibilities. Hence, it requires someone who is able to organise their daily workload and manage priorities in order to meet deadlines within strict time constraints. The ability to work autonomously, demonstrate initiative, flexibility and sound judgement is a key capability to performing successfully in this role.
Due to the confidential and complex nature of the work undertaken by the CFO, it is imperative that the Executive Assistant has an ability to work in an environment which requires tact and discretion.
As this role works across a varied and geographically dispersed team, it requires someone who is a team player and who is able to work collaboratively with managers and staff across the Finance Branch and Corporate Services to achieve results.
Selection Criteria Strong experience in providing high level administrative support services. Experience as an Executive Assistant will be highly regarded.Strong organisational skills, initiative and flexibility to manage workload and perform under pressure. Ability to take initiative and be adaptable to changing work priorities and requirements.Demonstrated ability to build and maintain positive and productive working relationships with a variety of stakeholders, including senior staff.Well-developed oral and written communication skills, including proven ability to communicate effectively with stakeholders at all levels and prepare professional business documents.Proven ability to exercise good judgment and maintain high-level professionalism and discretion in handling confidential information.Well-developed skills in using office-based software, financial accounting and other systems.Salary $94,563 - $105,910 per annum, plus 15.4% superannuation.
