Our business is growing too. We are now on the lookout for a well-organised, high-energy Executive Assistant to work closely with a Senior Partner and also support his team of Partners.

  • The Role

As an Executive Assistant, you will work closely with a Senior Partner and support his team of Partners in a fast-paced environment helping him stay on top of the day-to-day such as making travel arrangements, scheduling meetings and keeping track of time and expenses.

The ideal person for the job will be highly professional and diplomatic. Be proactive, looking ahead at what needs to be done on all dimensions. Be responsive with strong interpersonal and communication skills.

  • What you will be doing
  • Plan and orchestrate work and ensure priorities are met.
  • Proactive diary management, scheduling appointments, planning, amending itineraries and prioritising plans as required.
  • Arranging travel, including flights, transport and accommodations.
  • Answering, screening and directing telephone calls.
  • Prepare and edit presentations and other documents.
  • Coordinate meetings and events to include company functions, private events, conferences, and catering.
  • Note-taking and CRM administration.
  • Effectively manage expenses, timesheets and billing management.
  • Processing disbursement of credit cards.
  • Assist with all other accounting matters, including expense approvals.
  • Raising cheque requisition for approval.
  • Working autonomously and managing highly confidential information.
  • Attend to ad-hoc tasks required by other Partners from time to time.
  • We are seeking someone that
  • Brings 5 or more years of operations management, office management or EA or PA experience in a fast-paced environment
  • Has great time and task management
  • Is well-organised and enjoys figuring out how to "improve things."
  • Multi-tasking and attention to detail
  • Is adequately technical and comfortable picking up new tools and "running with them."
  • A hunger to work in a fast-paced environment
  • An outgoing and charismatic personality with a well-developed sense of humour
