- About The Role
We are seeking an organised, proactive, and highly skilled Executive Assistant to support both our Chief Financial Officer and Chief Information Officer. This dynamic and fast-paced role will see you act as a trusted partner to these senior leaders, ensuring seamless coordination of their day-to-day activities.
From managing their schedules and preparing for meetings to handling sensitive communications, you'll play a vital role in helping them stay focused on strategic objectives while keeping operations running smoothly. Your exceptional multitasking skills, discretion, and ability to anticipate needs will make you an invaluable part of the executive office.
This role offers variety and challenge, with no two days the same. You'll work closely with internal and external stakeholders, providing high-level administrative and organisational support across both portfolios. Your responsibilities will include managing correspondence, coordinating travel arrangements, preparing reports, and driving efficiency for both executives.
- What You'll Do
- Manage the complex calendars of both the CFO and CIO, including scheduling meetings, coordinating appointments, and organising travel arrangements as needed.
- Anticipate the needs of both executives by providing proactive support, such as tracking deadlines, preparing materials, and ensuring nothing is overlooked.
- Serve as a gatekeeper, effectively managing communications, prioritising requests, and optimising their time and focus.
- Accurately document discussions, decisions, and action items during senior leadership meetings by taking detailed minutes.
- Facilitate timely follow-up on meeting action items, tracking progress and ensuring accountability among stakeholders.
- Collaborate with internal and external teams to support the seamless implementation of action plans, offering guidance and assistance where required.
- Maintain well-organised records of meeting notes, action items, and follow-ups for easy access and reporting.
- Provide strategic administrative support to the CFO and CIO by leveraging meeting insights to inform priorities and contribute to the execution of key initiatives.
- What You'll Bring
- Extensive experience as an Executive Assistant or similar role, ideally supporting C-level executives in dynamic environments.
- Exceptional organisational skills with the ability to manage complex schedules, competing priorities, and shifting deadlines seamlessly.
- Strong relationship-building and communication skills, enabling effective collaboration with stakeholders at all levels.
- Proficiency in managing calendars, coordinating travel, and using office software to streamline operations.
- Expertise in capturing meeting discussions, decisions, and action items with precision, ensuring clear follow-up.
- Proven ability to handle sensitive information with the utmost discretion, sound judgement, and confidentiality.
- A proactive, resourceful mindset with a focus on anticipating needs and solving problems before they arise.
