The Creative Studio operates within a dynamic and fast-paced environment with responsibility for publishing, graphic design, exhibition design, the workshop and overseeing rights & permissions across the Gallery. This position assists with the licencing of copyright and permissions for works in the national collection, exhibitions, publishing, and other Gallery projects.

With a customer service focus, the Rights and Permissions Assistant role is responsible for administering and processing external image requests and providing administrative support to the Rights and Permissions Coordinator across a range of projects. The role will suit a highly organized individual with excellent communication skills and attention to detail. The ability to manage many competing priorities, show initiative and liaise confidently with internal and external stakeholders is essential.

This position reports to the Rights & Permissions Coordinator. This position of Rights & Permissions Assistant is a non-ongoing role with the Creative Studio team, in the Marketing, Communications & Visitor Experience portfolio at the Gallery.

This will be a full-time 12-month non-ongoing position with the possibility of becoming on-going

The key duties of the position include :

In accordance with the APS 4 work level standards, you will :

  • Process and administer external image requests in relation to the Tyler Collection; be the first and main point of contact for all enquiries, liaise with internal departments including imaging, curatorial and finance to facilitate and process requests; communicate consistently with the client to ensure a high standard of customer service is maintained; contribute to and generate order reports as required.
  • Provide support to the Rights and Permissions Coordinator in the administration of image permissions and copyright approvals for Gallery uses of works in the Tyler Collection such as exhibitions, and publishing projects, including communicating with internal and external stakeholders, updating project documentation and data entry.
  • Provide advice to internal stakeholders on image and caption usage in relation to the Tyler Collection, monitor internal copyright reporting and ensure adherence to guidelines and approved processes; provide support and training where required.
  • Distribute and follow up licences with artists and copyright holders in relation to the Tyler Collection; update the collection management database and provide advice to internal stakeholders as relevant.

Citizenship - To be eligible for employment with the Gallery, you must be an Australian citizen.

Police Check : To be eligible for this role you must complete a police check.

ADDITIONAL INFORMATION

Role specific qualifications certification and / or registrations include :

  • experience and / or the ability to be trained in arts and / or business administration;
  • experience in relationship management and / or excellent customer service skills;
  • having tertiary qualifications in visual art / art history OR relevant experience including demonstrated interest in visual art and the ability to identify works of art by media category.
