- About the Assignment
This role will also be responsible for the coordination of major project reporting requirements, working with project leads to ensure up to date information are provided accurately in a timely manner for communication to senior stakeholders.
Whilst in depth experience in Project Control is not required for this role, good understanding of project management process, coupled with positive attitude, demonstrated ability to adapt and learn, proactive, and a willingness to be flexible to changing work demands are critical for success.
This role will have the opportunity to work with Barossa Leadership team and senior Project Management and Engineering team based in Perth and international locations on a Major Capital Project. Confident in presentation and good communication skill will be advantageous.
- Tasks include
- Working closely with the Project Services Manager to manage Barossa Risk Management process. Coordinate risk identification, assessment, evaluation, treatment and monitoring of risk status on regular basis. Effectively summarized and communicate project risks, their status and health to project team members and stakeholders to the project team to support improved decision making.
- Be the focal point for Management of Change process. Involve in the identification, development, review, and approval process of all project change requests. Generate monthly dashboard to communication change request status and facilitation of quarterly leadership review session.
- Be the focal point for compilation and coordination of management reporting packages to all stakeholders both internal and external.
- Role Specific Accountabilities Include
- Risk Management_
- Ensure the project risk register is an accurate reflection of the risk profile.
- Work with project managers and engineers to ensure Barossa risks, controls and mitigations are accurately maintained in Pims.
- Assist the Project Service Manager in facilitation of quarterly risk review workshop with project leadership team.
- Preparation of monthly risk dashboard for the Project.
- Help to facilitate specific risk identification sessions ahead of a major project decision gates and as a prerequisite for half-yearly cost and schedule risk analysis updates.
- Help to collate risk material for input to CSRA probabilistic exercises.
- Management of Change_
- Designated Management of Change (MOC) coordinator for the Barossa Project.
- Liaison with project managers and engineers to coordinate effort required for the development, review and approval of all project change requests.
- Ensure all actions in Project Change Request workflow in Pims are kept up to date.
- Preparation of monthly MOC dashboard.
- Facilitation of quarterly MOC review meeting with project leadership team.
- Reporting_
- Coordinate the preparation of the overall Project Monthly Report package according to approve project calendar.
- Liaise with Project Leads in different functions and workstream to compile relevant information required in an agreed format, and submit to Project Services Manager and Project Director for review.
- Be the focal point for coordination of management reporting packages to all stakeholders both internal and external, including clear documentation of distribution matrix.
- Manage project information and edit / request clarifications as necessary to ensure that weekly, monthly and ad hoc reports and presentations reflect the complete and accurate representation of the Barossa Project's activities.
- Preparation of project KPI performance report.
- Support the development and further enhancement various Project reports and Dashboards.
- Create and maintain a historical archive of all project reporting data.
- Other areas_
- Support Project Services Manager and the Project Services team for ad hoc duty as required.
- To become Pims Super User for Risk and MOC process (training will be provided).
- Support development and update of Project Management / Project Services procedures and guidelines.
- Participate in continuous improvement, promote best practice and lessons learned review
- This contract assignment is initially offered for 12 months, engaged via Chandler Macleod. Location for this assignment is Perth, working full-time office hours.
- About You
- Technical qualifications in Engineering / Business or relevant to the role.
- Minimum 2 years of relevant working experience.
- Exposure to project environments, preferable in Oil and Gas capital projects.
- Awareness of Project Management and Project Services fundamentals.
