About The Role
We are seeking a strategic and detail-oriented Registrar to lead and manage student administration and oversee the Group's student information systems, enrolment processes, and timetable planning - ensuring a high degree of accuracy and integrity.
In addition to assessing course completions, preparing graduand lists for approval, and issuing qualifications, the Registrar will focus on compiling, analysing, and reporting on student data, alongside ensuring compliance with internal and external policies and requirements
Key Responsibilities Include But Are Not Limited To
Enrolments
Lead the HE and VET student administration teamsOversee and continuously improve the enrolment process for new and continuing studentsAssess and verify course completions, prepare lists of graduands and oversee issuance of qualifications / awardsEnsure that student results are finalised, accurately recorded and released to students in a timely mannerCollaborate with relevant internal stakeholders in relation to student graduationsManage the suite of current student administrative processes (eg. suspension, cancellation, course transitions) to ensure student's needs are met and accurate records are maintainedImplement and manage specific international student administrative processes (eg. attendance monitoring, Intention to Report)
Timetabling
Lead and manage the timetabling teamDevelop and oversee the implementation of an efficient timetable process across the Group's Higher Education and VET businesses, including effective stakeholder collaborationOversee the development and timely publication of annual and per study period timetables, providing students sufficient notice to plan their study and to optimise progression.Ensure campus and class size optimisation are embedded at the core of the timetabling processDevelop an approach to timetabling, including software solutions, that supports the group's growth plans
Student data and reporting
Be the owner of the Group's Student Information / Management Systems (SIS) and oversee configuration, data integration, user access, training and continuous improvementEnsure student records are maintained securely and in accordance with relevant privacy laws and organisational data governance policiesOversee the set-up of new courses in the SISCompile, analyse and report on student data including attrition, progression, and completion for the Group's various management and governance meetings as requiredManage and meet all deadlines for data reporting to third parties (eg. TEQSA, ASQA, TCSI, DOE, etc.).
Team Management
Lead and manage the Student Administration and Timetabling teams including recruitment, goal setting and performance feedbackFoster a high-performance culture by providing clear goals and regular feedbackProvide mentoring and coaching support for team members to assist in their developmentAdhere to all People and Culture processes ensuring engagement and retention of team membersEmbrace and model the fundamental values of the Group and ensure these characteristics are consistently applied across decision-making.

Education, Experience, And Skills
Bachelor's degree or higher qualification preferredAt least 10 years' experience in a student service-related role within a higher education environment, including at least 5 years in a leadership roleExperience in operational coordination, management and leadership in a similar role preferredExperience in VET sector is desirableExperience in data management, including reporting and analysisExperience in developing, leading, and managing high-performance teamsHigh attention to detail and results-focusedDemonstrated understanding of requirements associated with regulatory frameworks, especially the Higher Education Standards Framework (Threshold Standards) 2021 and National Code of Practice for Providers of Education and Training to Overseas Students 2018Excellent IT literacy, particularly in the Microsoft Office suiteExperience using and maintaining databases (eg. Student Management / Information Systems, PRISMS)Experience with customer relationship management / contact centre software (eg. Zendesk)Positive attitude and ability to think creativelyCross cultural awareness and ability to nurture a teamExcellent written and oral communicationExcellent interpersonal skills with the ability to work autonomously and as part of a team
