Account & Office Administrator – Trade Finance & Imports

Location : Sydney (Onsite)

Employment Type : Full-Time | Permanent

Take ownership of core finance and administrative functions for a growing international wholesale business operating in the food import and distribution sector.

Our client is a well-established importer and distributor serving retailers and wholesalers across Australia. With a global supply chain and strong focus on operational reliability, the business requires a confident, hands-on professional to manage its internal accounts and administration function.

In this pivotal role, you’ll oversee daily financial operations, support international trade processes, and liaise with multiple internal and external stakeholders to ensure smooth and compliant operations across finance, logistics, and customer coordination.

About the Role

As the Account & Office Administrator, you’ll take charge of the company’s finance function and internal administration. Your responsibilities will span accounts receivable and payable, payroll, reconciliations, and ongoing coordination with freight and customs partners. You will also manage trade finance processes and assist with documentation critical to importing and logistics operations.

You’ll liaise with both the sales and warehouse teams to ensure cross-functional alignment and accountability, while maintaining accurate and compliant records.

This is a role for someone who thrives in a fast-moving SME environment, brings precision and initiative to their work, and enjoys being the go-to person for operational coordination and support.

Key Responsibilities

  • Manage accounts payable, accounts receivable, payroll, and bank reconciliations using Xero
  • Track and follow up on outstanding receivables in coordination with the sales team
  • Process and reconcile supplier payments, including triple reconciliations involving banks and forwarders
  • Coordinate documentation for international freight, trade finance, and customs clearance
  • Liaise with freight forwarders, customs brokers, and external accountants
  • Monitor and support warehouse operations related to stock control and reconciliation
  • Maintain supplier records, internal reporting, and administrative systems
  • Provide clear and assertive communication across internal teams and external partners
  • Who You Are

  • Experienced in finance and administration roles within wholesale, import, or distribution businesses
  • Minimum 5 years’ experience in office or accounts coordination
  • Proficient in Xero and familiar with Australian bookkeeping standards
  • Comfortable managing trade finance processes, ideally including CBA platforms
  • Skilled in multi-party reconciliation and confident handling transactional detail
  • Familiar with import / export documentation and logistics compliance
  • Mature, professional, and assertive with a proactive mindset
  • Able to coordinate across departments and hold others accountable for follow-through
  • Excellent English communication skills, both written and verbal
