We have anexciting opportunity for a Facilities Coordinator to join ourWorkspace team onsite in our Perth office.

Reporting tothe Facilities Manager the Facilities Coordinator will play animportant role in providing prompt efficient and reliablefacilities support to our thriving and growing Perth office. Thisrole will also manage the files and security processes includingproviding a consistent approach to file closing archiving of hardcopy files safe custody and offsite storage of original clientdocuments. Our Perth office currently consists of around 145 staffand is continuing to grow.

Yourresponsibilities will include :

  • setting up rooms and IT equipment for meetings events and seminars i.e. laptops projectors and any AV set up;
  • liaising with the Events team in relation to internal events and their requirements;
  • setting up desks including IT equipment and cabling;
  • maintaining inventory of AV and WFH equipment such as monitors keyboards meeting room PCs and headsets and liaising with the team to get these sent out or returned;
  • conducting daily morning floor walk to ensure the office is ready for operation;
  • managing security access card distribution and maintenance;
  • providing office tour for new starters;
  • maintaining internal meeting rooms including AV equipment stationery and room presentation;
  • monitoring and completing service requests submitted through Jira;
  • logging jobs with building management;
  • coordinating the secure bin pickup and delivery;
  • coordinating general office maintenance including changing photocopier toners remove paper jams and minor odd jobs and repairs;
  • ensuring that all stationery cupboards are kept neat and tidy;
  • assisting with office moves and fitout projects (possibly in other states);
  • preparing files for archiving / or offsite storage;
  • managing the pickup and delivery of files and safe custody;
  • preparing the safe custody documents and packets for storage; and
  • ensuring consistency in process for archiving and offsite storage processes.

    You willideally have the following knowledge skills andexperience :

  • experience in a facilities administration or similar role within a law firm or professional services environment;
  • strong attention to detail;
  • strong customer service skills;
  • excellent interpersonal and communication skills;
  • flexible and reliable with a can do attitude and proactive approach;
  • strong organisation skills and the ability to prioritise deadlines;
  • ability to work autonomously as well as take direction;
  • strong working knowledge of Microsoft Office;
  • ability to work under pressure; and
  • professional work ethic.
