Medical Secretary

About Us :

Dr Domenic Robinson is a Melbourne trained Vascular and Endovascular Surgeon. He is an expert in the full spectrum of arterial and venous problems.

About You :

You will come from a Speciality background, or have a drive to up-skill from GP Reception experience. We are happy to train the right candidate. You have great work ethic, are ready to learn, and have a can-do attitude. You pride yourself in your IT and fast touch typing skills and your open communication skills. You have experience with Microsoft office (including Teams) and love working in a team and having autonomy.

We are looking for a friendly and proactive Medical Receptionist/Secretary with good typing skills to join our surgical practice on a permanent part time/full time basis. Previous experience in medical reception/secretarial (even a minimum of one year of GP experience is appropriate) is essential for this role.

You love making a difference to our patients lives, providing an empathetic and warm environment during their health care journey and love to learn and upskill to meet practice standards. You also pride yourself on your high attention to detail.

Certificate in Administration or equivalent experience.

Position Summary :

As Dr Robinson's Medical Secretary, you will be representing the practice as the first point of contact for patients and other health care facilities. You will be responsible for positively shaping the interaction that patients and other health care providers and support services have with the practice, ensuring that you provide excellent service through all means of communication. You will also look after a range of administrative duties to ensure the smooth operations of the practice while supporting the Dr Robinson and the Practice Manager.

Key Requirements :

• Excellent written and verbal communication skills
• One to two years minimum experience as a Medical Receptionist in a similar environment (experience in Specialist rooms advantageous but not essential), if you have GP experience please apply (we are happy to train)
• Experience liaising with Doctors, staff and patients (including having a warm and respectful manner when interacting with staff, patients and all medical professionals)
• Prior experience with medical software with strong computer/IT (including troubleshooting) skills and Gentu experience (or similar medical software)
• Typing speed (minimum 70-80 words per minute)
• Your patient care skills are only second to your attention to detail skills
• Experience and ability to meet deadlines – fast turnaround of letters.

Job Responsibility :

• Assist with managing consulting sessions, meet and greet
• Answering the practice phone in a professional, caring and warm
• manner
• Manage appointment diary and referrals
• Administrative duties as required (e.g.: scanning, send/receive correspondence, inbox maintenance)
• Flexibility to cover staff annual and sick leave (with notice)
• Patient billing, claims to Medicare and theatre billing
