About the Role
This is a senior operational role working directly with the team.
You will be responsible for ensuring the firm runs efficiently day-to-day, while also improving systems, managing workflows, and enhancing the overall client experience.
This role combines operations, client management, and front-desk coordination, making it ideal for someone who is highly organised, proactive, and takes ownership.
Key Responsibilities
Operations & Workflow Management
- Oversee and streamline daily operations of the practice
- Manage workflow, job allocation, and deadlines using Xero Practice Manager (XPM)
- Coordinate tasks across local and offshore team members
- Ensure jobs are delivered efficiently and on time
Client Experience & Front Desk
- Act as the first point of contact for clients — both in person and over the phone
- Answer incoming calls and manage appointment scheduling
- Maintain a professional and welcoming front-desk presence
- Manage client communications, follow-ups, and updates
Systems & Process Improvement
- Identify inefficiencies and implement process improvements
- Maintain and optimise systems including XPM, Ignition, NowInfinity and Content Snare
- Assist in building structured workflows and internal procedures
Administration & Compliance
- Prepare and send proposals using Ignition
- Manage ID verification via Annature
- Assist with ASIC compliance including company, trust, and SMSF registrations via NowInfinity
- Prepare annual company statements and minutes
Executive & Team Support
- Manage and prioritise the Director’s inbox and communications
- Support scheduling, meetings, and internal coordination
- Help foster accountability and structure across the team
Marketing & External Coordination
- Liaise with web developers and branding agencies
- Assist in maintaining and improving the firm’s online presence
About You
You are structured, proactive, and take pride in running an organised and efficient operation.
You are comfortable balancing client-facing responsibilities with internal operations, and you naturally look for ways to improve systems and processes.
You will ideally have:
- Experience as a Practice Manager or senior administrator within an accounting firm
- Strong understanding of accounting workflows and compliance processes
- Experience with tools such as Xero Practice Manager, Ignition, NowInfinity, or similar
- Excellent communication and client relationship skills
- Strong organisational and time management abilities
- A proactive mindset with a focus on continuous improvement
