POSITION OVERVIEW

Hickory is seeking a proactive and detail-oriented Legal Administrator to join our dynamic legal team. This part-time role (2-3 days per week) offers the opportunity to transition into a full-time maternity leave cover in 2026. You'll work closely with the General Counsel and Senior Legal Counsel, with some support to our Commercial Manager, and will play a pivotal role in supporting legal operations across the business.

RESPONSIBILITIES

    \n
  • Manage the legal inbox, triage requests, and allocate matters with relevant context.
  • \n
  • Maintain document integrity by saving emails and attachments in our document management system (M-Files) with accurate metadata.
  • \n
  • Oversee the contract library and ensure compliance tracking.
  • \n
  • Conduct preliminary contract reviews and prepare documents for execution.
  • \n
  • Coordinate legal briefs and manage court filing deadlines.
  • \n
  • Assist with trial preparation and litigation support.
  • \n
  • Ensure building licences are obtained and up to date.
  • \n
  • Support annual policy reviews and manage ASIC-related tasks.
  • \n
  • Maintain registers for contracts, licenses, policies, and claims.
  • \n
  • Assist with performance security processes and insurance renewals.
  • \n
  • Manage insurance claims.
  • \n
  • Distribute insurance certificates and coordinate project documentation.
  • \n
  • Schedule meetings, manage calendars, and prepare agendas/minutes.
  • \n
  • Support legal training sessions and due diligence activities.
  • \n
  • Provide general administrative support to the legal team.
  • \n

\n

TO BE SUCCESSFUL IN THE ROLE

\n

    \n
  • Proven experience as a paralegal or legal administrator, ideally in construction or property development.
  • \n
  • Strong ability to manage multiple stakeholders and lawyers with professionalism.
  • \n
  • Experience in contract administration and document management systems (e.g., MFiles).
  • \n
  • Tech-savvy with exposure to legal tech and e-discovery tools.
  • \n
  • Excellent calendar and meeting coordination skills.
  • \n
  • A proactive problem-solver with strong attention to detail and initiative.
  • \n
