Job Description

Pathology Queensland are excited to welcome applications for an Administrative Officer to join the Anatomical Pathology Central team! Pathology Queensland (PQ) provides diagnostic pathology services to all Hospital and Health Services (HHS) across metro, regional and remote Queensland and plays a critical role in the government's response to public health threats, epidemics, and civil emergencies.

The Anatomical Pathology Central laboratory provides a comprehensive histology, cytology and mortuary service to the Royal Brisbane and Women's Hospital, the Queensland Children's Hospital, as well as a central support and referral service to laboratories throughout Queensland and overseas.

About the role:

The Division of Anatomical Pathology and Cytopathology provides a range of services including diagnostic surgical pathology, gynaecological and non-gynaecological cytopathology and autopsy services. The Division also provides referral services, registrar training, and multidisciplinary clinico-pathological review meetings to regional and tertiary referral teaching hospitals across the state.

As an Administrative Officer, you will work as a team member providing administrative support to the Division of Anatomical Pathology and Cytopathology at the Central Laboratory – Pathology Queensland. The responsibilities include ensuring that all laboratory practices comply with Pathology Queensland requirements in providing an effective and efficient service to the District Health Services Statewide, participation in the Statewide Medical Typing Pool and meeting the deadlines and work priorities of the workplace in cooperation with other team members as directed by the Office Supervisor.

Your key responsibilities include:

  • Use medical typing skills to transcribe electronic and handwritten medical reports into the laboratory information system in a proficient manner to meet reporting deadlines. This will include all medical typing and patient registration.
  • Maintain an efficient standard of administrative support services for the Division by providing support in the areas of telephone enquiries, correspondence, filing, scanning, photocopying and reference retrieval duties, including slides and blocks.
  • Maintain an efficient standard of administrative support to the medical staff in the retrieval of slides and the preparation of associated documentation and reference material for the Anatomical and Cytopathology Clinicopath meetings.
  • Maintain an efficient standard of administrative support in the management of data, records and workflow.
  • Communicate effectively in a courteous manner with medical and other staff to ensure information transfer is accurate and meets prescribed time requirements.
  • Participate in the identification, development and implementation of quality and service improvement activities in accordance with National Association of Testing Authority/International Standardisation Organisation (NATA/ISO) accreditation/certification that enhance the delivery of Anatomical Pathology and Cytopathology services both within the Division and to external clients.

Role fit:

You will bring strong knowledge of medical terminology, along with accurate medical typing, keyboard and data entry skills to support the timely processing of Anatomical Pathology information. Highly organised and able to manage competing priorities, you will coordinate and complete tasks within required timeframes while maintaining a high level of accuracy and attention to detail. Your well-developed communication and interpersonal skills will enable you to provide effective service to internal and external stakeholders, and your ability to utilise laboratory information systems to register and track Anatomical Pathology specimens will support the efficient delivery of pathology services.

Why work for us:

  • Career traning and development
  • Generous leave entitlements
