Job description

Take hold of a monster opportunity and join Australian Retirement Trust as our Senior Operations Coordinator. You'll keep our Internal Audit function organised, connected and moving forward by supporting senior leaders, coordinating reporting and meetings, and maintaining the tools, registers and processes that help the team deliver quality outcomes.

Description
We're all about helping our members make the most of their money. And while they go after their goals, you can too. As a Senior Operations Coordinator within our Internal Audit team, you'll play a central role in keeping the function operating effectively.

You’ll provide trusted managerial, administrative and secretarial support to the General Manager Internal Audit, Senior Managers and the broader team. From coordinating audit schedules and executive reporting to maintaining registers, organising meetings and supporting team operations, you'll help ensure important work is delivered accurately and on time.

This is a varied role where you'll build strong relationships across the organisation, work with confidential information and use your judgement to balance competing priorities. You'll be joining a collaborative team where your professionalism, initiative and attention to detail will be valued.

This role is a permanentrole based in Brisbane or Sydney.

Responsibilities
Day to day, you'll:

  • Provide professional and confidential support to the General Manager Internal Audit, Senior Managers and the broader team.
  • Coordinate internal and external meetings, including papers, room bookings, catering, access requirements and other logistics.
  • Support audit scheduling, progress tracking, status reporting and the maintenance of audit tools, templates and registers.
  • Prepare high-quality reports, presentations, dashboards and updates for management, executives and committees.
  • Coordinate financial, payroll, people and culture, compliance training and management reporting activities.
  • Maintain databases, charts, registers, lists and other records that support efficient team operations.
  • Assist with onboarding, systems access and operational support for new and existing team members.
  • Organise training, registrations, events, travel and accommodation when required.
  • Manage invoices, purchasing, budgeting activities and corporate card reconciliations.
  • Build effective working relationships with Internal Audit colleagues and stakeholders across the organisation.

Qualifications
It goes without saying you'll be a great communicator with top notch interpersonal skills. We'll also expect you to pick up problems and come up with quick, creative ways to solve them. It's quite likely you tick some of the following boxes too:

  • You have demonstrated experience managing sensitive, confidential and time-critical administration or reporting activities.
  • Your planning and organisational skills help you manage competing priorities and meet tight deadlines.
  • You'll bring sound judgement, initiative and the confidence to work with minimal supervision.
  • You're comfortable communicating with stakeholders at all levels and adapting your approach when needed.
  • You have strong written communication skills and excellent attention to detail across spelling, grammar and presentation.
  • Your Microsoft Office skills are well developed, and you're familiar with SharePoint or able to learn new systems quickly.
  • You'll bring resilience, enthusiasm and a consistently professional approach.
  • You're experienced in financial services, superannuation, life insurance, financial planning or funds management, although this is desirable rather than essential.
  • You have some exposure to internal audit, technology audit or risk management practices, which would be well regarded.
  • Your experience with software applications beyond Microsoft Office would also be an advantage.
