Summary
Our client RS Calibration Pty Ltd is an established calibration and repair services provider based in Prestons, NSW, delivering precision, reliability and quality-assured services across force, torque and related instruments.
Our client is seeking to add a Program or Project Administrator to coordinate business projects, project documentation, accreditation activities, systems implementation, workflow improvement and reporting. The position will work closely with management, technical personnel and external stakeholders to monitor project schedules, maintain documentation, track actions and deliverables, coordinate business requirements and support the successful implementation of organisational improvement projects.
The role will also assist with projects associated with quality and accreditation systems, business management software, electronic records and future operational expansion. The position is administrative and project-focused and does not involve performing technical calibration, repair or software development work.
The typical job responsibilities will include, but are not limited to the following:
• Coordinate business and organisational projects by maintaining schedules, milestones, action registers, deliverables and project documentation.
• Coordinate documentation and project activities associated with the organisation’s quality management and accreditation initiatives, including coordination of the preparation and maintenance of procedures, SOPs, forms, registers and records.
• Track outstanding actions, documentation requirements and project milestones associated with accreditation readiness and follow up with relevant stakeholders.
• Liaise with management, technical personnel, external advisers, suppliers and other stakeholders to obtain project information and coordinate required actions.
• Prepare and maintain project plans, progress reports, status updates, meeting records, action lists and management reporting.
• Gather and document business requirements for new software, workflow and business management system projects.
• Map existing and proposed business workflows and assist stakeholders to document functional and operational requirements.
• Coordinate communication between management, operational users and software developers regarding project requirements, timelines, deliverables and outstanding issues.
• Coordinate user acceptance testing, record testing outcomes, track identified issues and assist with implementation of approved business systems.
• Maintain project risk, issue, change and dependency registers and escalate matters requiring management attention.
• Coordinate electronic records, workflow systems, CRM, LIMS or similar business systems used for project tracking, documentation and operational reporting.
• Collect, organise and analyse project and workflow information to assist management with performance reporting and continuous improvement.
• Identify opportunities to improve administrative processes, documentation controls, reporting systems and internal business workflows.
• Assist with project and administrative coordination associated with future business expansion, including systems, documentation, workflow and reporting requirements for additional locations.
Applicants must meet the following minimum requirements to be considered for the role:
• Relevant diploma-level qualification or higher, or at least three years of comparable program/project administration or project coordination experience.
• Demonstrated experience coordinating multiple projects, including scheduling, milestone tracking, deliverable monitoring and follow-up of outstanding actions.
• Proven experience preparing and maintaining project documentation, including project plans, requirements, reports, meeting records, action registers and status updates.
• Experience using project tracking, workflow management, CRM, dashboard, spreadsheet, document management or collaboration systems.
• Demonstrated ability to gather and document business requirements and coordinate information between technical and non-technical stakeholders.
• Experience monitoring project risks, issues, dependencies, changes and project deliverables and escalating matters where required.
• Experience supporting business systems, process improvement, quality-management, accreditation, compliance or documentation-based projects is highly regarded.
• Demonstrated ability to communicate effectively with management, employees, suppliers, contractors, consultants and other project stakeholders.
