Purpose of the Role

\n

A.Q.S Consultancy Services Pty Ltd is seeking a capable CCDM Program, Operations & Commercial Growth Coordinator to support the immediate implementation, commercialisation and operational development of the Cost Claim and Dispute Management (CCDM) framework and associated A.Q.S Australia initiatives.

\n

This is a priority position intended to:

\n

    \n
  • strengthen A.Q.S Australia's current delivery capacity;
  • \n
  • convert existing strategies and opportunities into implemented activities;
  • \n
  • improve coordination across CCDM workstreams;
  • \n
  • accelerate revenue-generating professional services and programs;
  • \n
  • improve utilisation of existing people, systems and intellectual property;
  • \n
  • strengthen cash flow, invoicing, commercial follow-up and financial visibility; and
  • \n
  • support sustainable growth of A.Q.S Australia and CCDM.
  • \n

\n

The role works closely with the Managing Director and relevant A.Q.S/CCDM personnel and acts as an important bridge between strategy, implementation, commercial delivery and financial outcomes .

\n

1. CCDM Program Implementation

\n

    \n
  • Maintain the consolidated CCDM implementation program.
  • \n
  • Convert approved strategies into defined actions, owners, milestones and deliverables.
  • \n
  • Coordinate activities across CCDM divisions and A.Q.S business functions.
  • \n
  • Monitor overdue activities, dependencies, risks and decisions.
  • \n
  • Prepare weekly implementation and exception reports.
  • \n
  • Ensure initiatives progress from concept to implementation rather than remaining as proposals.
  • \n

\n

2. Commercial Growth & Revenue Implementation

\n

A key responsibility of the role is to assist A.Q.S in converting its existing capability, intellectual property, professional network and market opportunities into sustainable revenue.

\n

Activities include:

\n

    \n
  • maintaining the commercial opportunity and business-development pipeline;
  • \n
  • identifying opportunities that can be progressed into fee-earning assignments;
  • \n
  • coordinating EOIs, tenders, proposals and fee submissions;
  • \n
  • following up submitted proposals and prospective clients;
  • \n
  • supporting conversion of Expert Panel enquiries into appropriate professional engagements;
  • \n
  • coordinating Academy courses, CPD programs and paid professional events;
  • \n
  • supporting commercialisation of CCDM services, tools, frameworks and digital solutions;
  • \n
  • coordinating consultancy, contract administration, claims, commercial advisory and dispute-support opportunities;
  • \n
  • tracking probability, potential fee value, expected commencement and expected revenue;
  • \n
  • identifying inactive opportunities requiring management intervention.
  • \n

\n

3. Financial Position & Cash-Flow Support

\n

The position will support management in strengthening the company's financial position through disciplined implementation.

\n

Responsibilities include:

\n

    \n
  • maintaining a revenue and fee forecast against the commercial pipeline;
  • \n
  • monitoring work-in-progress and upcoming invoicing milestones;
  • \n
  • coordinating timesheet and deliverable information required for invoicing;
  • \n
  • following up internally on unbilled completed work;
  • \n
  • monitoring outstanding client information preventing invoices from being issued;
  • \n
  • maintaining an accounts-receivable follow-up register in coordination with management/accounting personnel;
  • \n
  • tracking expected receipts and significant expenditure commitments;monitoring project and program budgets;
  • \n
  • identifying activities consuming resources without a defined commercial outcome;
  • \n
  • assisting management to prioritise initiatives with the strongest strategic and financial return;
  • \n
  • supporting Xero and management-dashboard information where appropriate.
  • \n

\n

The role does not replace the company's accountant or financial adviser. Its purpose is to ensure that operational implementation produces timely commercial and financial outcomes .

\n

4. Digital Systems & Management Dashboard

\n

    \n
  • Assist in development and administration of the A.Q.S/CCDM operating system.
  • \n
  • Support Microsoft 365, SharePoint, Power Apps and Power BI implementation.
  • \n
  • Coordinate Google Workspace and AppSheet workflows where appropriate.
  • \n
  • Establish structured registers and databases.
  • \n
  • Develop management dashboards covering:
  • \n
  • opportunities;
  • \n
  • revenue pipeline;
  • \n
  • tenders;
  • \n
  • projects;
  • \n
  • WIP;
  • \n
  • invoices;
  • \n
  • receivables;
  • \n
  • expenditure commitments;
  • \n
  • Expert Panel;
  • \n
  • Academy;
  • \n
  • partnerships;
  • \n
  • research programs;
  • \n
  • risks;
  • \n
  • actions and deadlines.
  • \n
  • Assist with progressive automation and AI-enabled workflows.
  • \n

5. Commercial & Contract Administration Support

\n

Coordinate and assist with:

\n

    \n
  • tenders and EOIs;
  • \n
  • consultancy proposals;
  • \n
  • professional service agreements;
  • \n
  • subcontractor and expert appointments;
  • \n
  • NDAs;
  • \n
  • conflict disclosures;
  • \n
  • panel engagements;
  • \n
  • fee proposals;
  • \n
  • variations;
  • \n
  • claims and EOT workflows;
  • \n
  • project commercial registers;
  • \n
  • deliverables;
  • \n
  • invoicing milestones;
  • \n
  • project close-out and final-account administration.
  • \n

6. Expert Panel, ANDAB & Professional Network

\n

    \n
  • Coordinate Expert Panel applications and onboarding.
  • \n
  • Maintain qualifications, experience, availability, conflicts, insurance and appointment records.
  • \n
  • Establish a searchable capability database.
  • \n
  • Match available experts with potential client opportunities.
  • \n
  • Support compliant engagement and appointment processes.
  • \n
  • Maintain appropriate separation between neutral/ADR activities and advisory/commercial services.
  • \n
  • Coordinate expert, mediator, adjudicator and specialist appointments.
  • \n

\n

7. CCDM Academy & Professional Programs

\n

    \n
  • Coordinate faculty and speakers.
  • \n
  • Develop course and event implementation schedules.
  • \n
  • Support International Mediation programs.
  • \n
  • Support Contract Administration training.
  • \n
  • Support Digital/AI Integration and Commercial Intelligence programs.
  • \n
  • Coordinate registrations, faculty documentation and course administration.
  • \n
  • Assist with conferences, roundtables, publications and professional events.
  • \n
  • Monitor course budgets, registrations, fees and financial performance.
  • \n

8. Research, Innovation & Strategic Partnerships

\n

    \n
  • Support CRC and CRC-P initiatives.
  • \n
  • Support eligible R&D activities and supporting records.
  • \n
  • Maintain university, industry, government and technology partner registers.
  • \n
  • Coordinate MOUs and collaboration proposals.
  • \n
  • Progress pilot-project opportunities.
  • \n
  • Assist development of commercially sustainable research and digital products.
  • \n
  • Track grant, research and partnership opportunities against strategic and financial objectives.
  • \n

9. Governance & Management Support

\n

  • Prepare management meeting papers.
  • \n
  • Maintain the master action register.
  • \n
  • Record decisions and required follow-up.

  • Monitor outstanding approvals and signatures.
  • \n
  • Maintain compliance and contract registers.
  • \n
  • Escalate critical commercial, operational and financial matters to the Managing Director.
