About the role

In this role you will be responsible for ensuring the Bank’s premises across all locations are safe, well-maintained and operationally efficient. The role oversees building services, including cleaning, security and maintenance, and manages service provider contracts to ensure quality service delivery within budget. Reporting to the Chief People Officer, key responsibilities include:

  • Ensuring that all facilities and premises across all BOS branches and Head Office are safe and well maintained
  • Monitor, record and manage repairs and maintenance to all premises in consultation with our external facilities manager (currently Colliers)
  • Manage cleaning and facilities vendors, office equipment providers and all other services and contractors for all locations
  • Manage security system for head office and branches in consultation with our external security provider (currently Chubb)
  • Manage the combination codes register and key registers for all branches and proximity card register for head office
  • Check and verify department’s invoices, prepare purchase orders and approve payments in our finance system (TechOne)
  • Monitor and diarise lease agreements and service contracts/agreements for all branches
  • Maintain compliance with all contract and control assessment requirements within Protecht to meet risk obligations
  • Manage the procurement of adhoc purchases of office supplies, furniture and equipment
  • Monitor stocks and oversee the ordering of printing and stationery supplies for head office and all branches
  • Assist the Chief People Officer with adhoc tasks or project activities

All about you

We are seeking someone who has the following qualifications, skills and experience:

  • Minimum 5 years’ experience working in a premises or facilities role, or a highly administrative role
  • Experience within a banking or professional services environment desirable
  • Strong administrative and organisational experience
  • Sound knowledge of Microsoft Office programs and or internal facilities management software (eg. Chubb)
  • Demonstrates initiative and proactively identify key issues and implement sound action in a timely and decisive manner
  • Establish productive relationships and deliver level of service to all stakeholders within required time frames
