Customer Service & Scheduling Coordinator

We are looking for an organised and customer-focused Customer Service & Scheduling Coordinator to join our team.

This is a busy coordination role where you will help keep customer jobs moving from check measure through to production, installation and service. You will work closely with customers, installers, production and sales to make sure appointments are scheduled effectively, information is accurate and customers are kept informed throughout the process.

The primary product focus will be Roller Shutters and Security Doors, with support across other product categories as required.

What you'll be doing

Your day-to-day responsibilities will include:

• Scheduling check measures and installations with the appropriate fitters
• Confirming appointments and communicating with customers
• Managing fitter calendars and planning efficient daily installation runs
• Processing completed check measures and ensuring information is ready for production
• Preparing installer run sheets for the following day
• Managing service bookings and responding to customer enquiries
• Following up any discrepancies or issues following installation or collection
• Working closely with installers, production and sales to keep jobs progressing within expected timeframes
• Maintaining accurate job records and documentation in Insyte.

About you

You will be someone who enjoys coordinating multiple moving parts and providing a great customer experience.

Ideally, you will bring:

• Previous experience in scheduling, coordination, administration or customer service
• Strong organisational and time-management skills
• Excellent attention to detail and follow-through
• Confident and professional communication skills
• The ability to manage competing priorities in a busy environment
• A practical, solutions-focused approach when issues arise
• Confidence using Microsoft Outlook, Word and Excel
• The ability to work collaboratively with customers, installers and internal teams.
• Experience within a manufacturing, building products, trades, installation or service-based environment would be highly regarded.
• Knowledge of Roller Shutters, Security Doors or similar products is advantageous but not essential.

You will be based at our office in Coburg North and work closely with different areas of the business, making this a varied role with plenty of opportunity to build your product and industry knowledge.
