What we are looking for:

Due to company growth, we are seeking a Project Coordinator to join us on a full-time basis. This is a great opportunity for a proactive individual to be responsible for the day-to-day coordination and delivery of allocated maintenance and minor works projects. This role involves a combination of office based and site-based work, with regular site attendance required for quoting, project scoping and delivery requirements. Reporting to the Maintenance and Minor Works Manager, the primary responsibilities of the role are to:

• Assist the Maintenance division with quoting and delivering maintenance, reactive, planned and minor works projects
• Assist with meeting agreed service levels, response times, client KPIs and budget requirements across all assigned works and maintenance activities
• Create, manage and maintain strong client relationships, acting as a point of contact while proactively identifying opportunities for additional work streams and business growth
• Coordinate internal trades, subcontractors, suppliers, contractors and access requirements to ensure works are delivered safely, efficiently, within scope and approved budgets
• Prepare, manage, and follow up quotes with suppliers, contractors, clients and other stakeholders to ensure timely approvals and conversion of opportunities
• Manage project financials including cost control, approvals, invoicing, progress claims, contractor bill approvals and accurate job closure
• Assist with maintaining accurate and timely documentation and reporting, Work in Progress reviews and client reporting to ensure data accuracy
• Monitor and manage client email queries, phone calls, client portals, and incoming maintenance requests, ensuring all communications and actions are responded to
• Monitor contractor capacity and availability, including sourcing new contractors when required
• Escalate risks, delays, compliance concerns or operational issues to the Maintenance and Minor Works Manager

About You

Minimum 2 years' experience in Project Coordination or a construction administration role including working both on site and in office.

Skilled in Excel and project coordination software; able to quote, scope, and deliver projects efficiently.

Valid Australian Driver's Licence and current White/Red Card (desirable)

Strong communication, problem-solving, and time management skills.

Self-motivated and able to work independently while collaborating effectively with a team.
