Accounts and Administration coordinator

Matrix Building Co Pty Ltd – Castlemaine VIC

This is an important role within Matrix Building Co, a growing residential building company based in Central Victoria. Bookkeeping and financial administration will form a key part of the position; however, this is not purely a bookkeeping role. You will work closely with the Directors, estimator and construction team to help keep accounts, projects, documentation and office systems organised and up to date.

Key responsibilities

Accounts payable and accounts receivable

Processing and allocating supplier and subcontractor invoices

Bank and account reconciliations

Payroll administration and superannuation-related administration

Monitoring outstanding accounts and assisting with debtor follow-up

Assisting with BAS preparation and liaising with accountant

Accurate allocation of project costs and maintaining job costing information

Maintaining project information within Buildxact, entering and updating project and cost information

Uploading and maintaining project documentation, maintaining client portal information and sharing approved documentation with clients

Maintaining accurate electronic project records and filing systems

Following up required documentation from suppliers, subcontractors and consultants

Scheduling meetings and appointments, assisting with meeting preparation and administration

Preparing and populating standard contracts, forms and project documents

Document control and electronic filing

Assisting with subcontractor and supplier administration

General correspondence and office support

Helping develop and maintain efficient administrative systems and procedures

About you

Previous bookkeeping or accounts administration experience

Strong working knowledge of Xero

Excellent attention to detail and accuracy

Strong organisational and time-management skills

Good written and verbal communication skills

Confidence working independently and following tasks through to completion

Good general computer and Microsoft Office skills

The ability and willingness to learn new systems

A proactive attitude — someone who sees what needs to be done and gets it moving

Experience within the building or construction industry would be highly regarded
