Job description

Closing date for applications is 30th September 2026

Full time Fixed Term Contract start January 2027 until November 2027

Location: Sydney (Gadigal), Australia

The Rugby World Cup Australia (RWCA) is proud to deliver one of the world’s most iconic sporting events — the Rugby World Cup 2027 (Men’s). More than a tournament, it’s a celebration of Rugby’s spirit, Australia’s culture, and the power of sport to unite and inspire communities around the world.

Rugby World Cup Australia is excited to offer an opportunity for a Recruitment Coordinator to join our Sydney office and reporting directly to the Senior Talent Acquisition Manager. The RecruitmentCoordinator plays a key role in supporting the end-to-end hiring process by managing candidate screening, interview logistics, system administration, and pre-employment compliance. Acting as the central link between candidates, hiring managers, and the Talent Acquisition team, this role ensures a smooth, timely, and professional recruitment experience while maintaining accurate data, strong communication, and efficient process flow. The position also supports talent pipeline development, onboarding preparation, and continuous improvement across recruitment systems and workflows.

Key responsibilities include but are not limited to:

  • Schedule and manage virtual and onsite interviews, coordinating across hiring managers and panels.
  • Maintain accurate candidate data, interview notes, status updates, and offer details in systems such as SuccessFactors.
  • Manage timely communications throughout the hiring process, ensuring a positive and professional candidate experience.
  • Complete reference and background checks, verify work eligibility, prepare contracts/offers, and ensure compliance with policies and privacy standards.
  • Assist with new starter paperwork, system setup, IT and access coordination, and orientation scheduling in partnership with P&C teams.
  • Build strong relationships with hiring managers and P&C partners, provide high‑quality service, and act as a super‑user for recruitment systems and tools.
  • Assist in reviewing applications, conduct phone interviews, and maintain active talent pipelines for future roles.

Qualifications & Experience

  • 2–3 years’ experience in recruitment, HR, or coordination/administration (in‑house or agency).
  • Strong systems capability, including ATS/HRIS platforms (e.g., SuccessFactors), MS Office/Google Suite, and digital scheduling tools.
  • Solid understanding of end‑to‑end recruitment, including screening, compliance checks, and onboarding workflows.
  • Excellent written and verbal communication, with the confidence to build rapport with candidates and hiring managers at all levels.
  • Highly organised, able to manage high‑volume scheduling, competing priorities, and tight deadlines.
  • Strong attention to detail, including accurate data entry, contract preparation, and secure handling of sensitive information.
  • Collaborative and adaptable, comfortable working in a fast‑paced environment with diverse stakeholders and shifting priorities.
  • Experience in high‑volume/project recruitment; HR or onboarding support; familiarity with employment legislation or visa checks; background in events, sport, logistics, hospitality, or similar industries.

Why You’ll Love It Here

  • Competitive salary: We know world‑class talent deserves to be rewarded
  • Hybrid game plan: Flexibility to work from home on Mondays and Fridays, with a 3 day in office schedule (Tues‑Thurs), moving to full time in office in 2027 as the tournament approaches.
  • Unbeatable location: A modern space across from Sydney’s Hyde Park, just a 5 minute walk from Town Hall, Gadigal Metro, surrounded by great cafes, restaurants and shops.
  • Wellbeing first: Weekly fresh fruit, Lunch and Learns with a focus on keeping our team feeling their best on and off the field
  • Locker room ready: Showers, fresh towels, and Dyson hair tools so you can reset and refresh any time.
  • Team spirit and culture: Weekly drinks and social catchups that celebrate wins big and small.
  • Make your mark: Play a key role in bringing the third largest sporting event in the world to life right in Australia!

Australia’s hosting of the Rugby World Cup is a once-in-a-generation opportunity to grow the game, celebrate our people and culture, and deliver lasting social and economic impact. At the heart of our mission is diversity, inclusion, and legacy ensuring Rugby’s growth benefits all and inspires a new generation of players, fans, and communities. Join us in shaping an unforgettable celebration of Rugby, culture, and community.

All applicants need to be able to obtain their own unlimited working rights in Australia.

Rugby World Cup Australia is committed to building a diverse workforce and therefore strongly encourages applications from underrepresented groups. We are committed to equality and inclusion and welcome applications from all individuals, regardless of their background and are happy to provide reasonable accommodations during the recruitment process. We strive to be a diverse and inclusive workplace, which reflects the global sport we want to be and where everyone can be themselves and feel they belong.
