Job description
The Senior Registry Officer is responsible for administration of clearance and licencing for clergy and lay ministers. They support the Registry team through varied administrative, research, writing, record-keeping, stakeholder service and event-management responsibilities that support the work of the Registry. The role requires high-level administrative and technology skills, sound judgement, professional discretion, and the capacity to work flexibly and proactively across competing priorities in a legislated and Christian environment.
Key responsibilities
- Administer clergy licensing processes, ensuring prescribed requirements and approvals are completed before licences are issued.
- Coordinate and record clearances, Police Checks, Working with Children Checks and Good Standing from other dioceses.
- Ensure clergy are licensed correctly to their roles and that appointments, roles, professional standards information and licensing status are accurately recorded in the CRM and files.
- Prepare accurate licences, appointment memoranda and related documentation within required timeframes.
- Liaise with the Episcopate, Archbishop and Theological Education offices regarding clergy and lay licences.
- Monitor, record and follow up clergy, clearance, licensing and parish compliance requirements.
- Undertake electronic and manual record keeping, data entry and reporting.
- Administer clergy registration as marriage celebrants, including receiving applications and forwarding required information to Births, Deaths and Marriages.
- Receive and process applications for faculties and coordinate Archbishop's approval.
- Assist with research, preparation and drafting of meeting papers, minutes and other Registry documents.
About you
- Working knowledge of the Anglican Church of Australia, particularly the Diocese of Melbourne and its legislation, or the capacity to develop this knowledge quickly.
- Experience with databases and accurate information management, including data entry and reporting.
- Intermediate to advanced Microsoft Office skills and confidence using technology to support administrative processes.
- Sound written and verbal communication skills, including the ability to research and draft internal and external documents with guidance.
- High-level attention to detail and accuracy.
- Strong organisational and time-management skills, with the ability to coordinate concurrent tasks, work under pressure and meet deadlines.
- Demonstrated capacity to work proactively with minimal supervision and to refer issues appropriately.
- Ability to work cooperatively with clergy, parishes, diocesan staff, government authorities, regulators and other stakeholders.
- Strong understanding of confidentiality and demonstrated professional discretion.
- Current Police Check and Working with Children Check.
