Eastern Underground Pty Ltd – Kinglake VIC

\n

Eastern Underground is seeking an experienced, proactive Project Administrator to join our team on a permanent part-time basis. Playing a vital role in supporting the successful delivery of projects across Victoria, you will provide high-level administrative support to ensure efficient daily operations and seamless project execution.

\n

This position is ideal for someone who thrives in a fast-paced environment, excels at multitasking, and enjoys a diverse range of responsibilities.

Key Responsibilities \n

  • Administrative & Management Support: Provide direct administrative assistance to the Project Manager and HSEQ Manager, including reporting, data entry, and record management.
    • \n
  • Document Control: Manage project correspondence, filing, and site documentation maintenance using OneDrive and SharePoint.
    • \n
  • Quality & Compliance: Assist with quality documentation to ensure all project records are accurately maintained, up to date, and compliant.
    • \n
  • Stakeholder Coordination: Coordinate daily administrative activities involving subcontractors, suppliers, and external trades.
    • \n
  • Client & Contractual Support: Assist with customer liaison and contractual obligations, including certification requirements and project documentation.
    • \n
  • Pipeline Support: Set up new job leads and prepare project files for team follow-up.
    • \n

About You \n

  • Relevant Experience: Background in a Project Administration (or similar) role, ideally supporting construction, civil, or infrastructure operations.
    • \n
  • Technical Skills: Intermediate proficiency in Microsoft Word and Excel, with strong data entry, reporting, and cloud filing (OneDrive/SharePoint) capabilities.
    • \n
  • Organizational Skills: Excellent time management with a proven ability to prioritize tasks effectively in a fast-paced environment.
    • \n
  • Attention to Detail: Meticulous approach to documentation accuracy and record management.
    • \n
  • Communication: Strong written and verbal communication skills across internal teams, clients, and external trades.
    • \n
  • Work Style: Ability to work autonomously while collaborating effectively within a broader project team.
    • \n
