We are seeking a proactive and detail-oriented Purchasing & Inventory Coordinator to join our Banyo Head Office team. This role may be structured as either full-time or part-time during school hours for the right candidate.

About the Role

Reporting to the Supply Chain Manager, this role is responsible for coordinating purchasing activities, maintaining inventory accuracy, managing supplier relationships, and supporting stock availability across multiple brands and warehouse locations.

The position plays a critical role in ensuring products are available when required, inventory records remain accurate, and purchasing and replenishment activities are executed effectively.

You will work closely with Warehouse, Sales, Marketing, Finance, suppliers, and logistics partners to support the day-to-day operation of the business.

Key Responsibilities

• Raise and manage purchase orders with local and international suppliers.
• Monitor supplier lead times, order progress, and delivery schedules.
• Build and maintain effective supplier relationships.
• Manage supplier communications regarding shortages, delays, and supply issues.
• Coordinate inbound shipments and liaise with freight providers and logistics partners.
• Maintain supplier records and purchasing documentation.

Inventory Planning & Stock Management

• Monitor stock levels across all brands and warehouse locations.
• Analyse inventory performance and support replenishment planning.
• Coordinate stock transfers between warehouses.
• Produce out-of-stock reporting and inventory analysis.
• Assist with forecasting and maintaining appropriate stock levels.
• Work to minimise excess, obsolete, and slow-moving inventory.
• Investigate stock discrepancies and support stocktakes and inventory audits.

Product & ERP Administration

• Create and maintain product codes and inventory records.
• Maintain accurate product master data within business systems.
• Manage promotional packs, bundles, kits, and product configurations.
• Support new product launches, repacks, and product discontinuations.
• Ensure inventory and purchasing systems remain accurate and up to date.

Cross-Functional Collaboration

• Work closely with Warehouse teams on inbound stock, transfers, and inventory movements.
• Coordinate promotional pack requirements with Marketing, Sales and Warehouse teams.
• Support Sales with stock availability reporting.
• Assist with product compliance documentation and supplier requirements.
• Participate in continuous improvement initiatives across purchasing and inventory processes.

Highly Regarded

• Experience in purchasing, inventory control, supply chain, procurement, or warehouse administration.
• Experience working with ERP or inventory management systems.
• Experience managing supplier relationships and purchase orders.
• Experience using Attaché, Phocas, Pronto, or similar systems.
• Understanding of inventory forecasting, replenishment, and stock control principles.
