Summary

Our client Shiv Abhinav Pty Ltd is an established Western Australian business operating since 2018. Our client is seeking to add a Contract Administrator to support the effective administration, sourcing, review and management of commercial contracts, with a particular focus on cleaning services. The role will coordinate contract documentation, variations, stakeholder communication, compliance requirements and reporting to support efficient business operations.

The typical job responsibilities will include, but are not limited to the following:

• Source and administer cleaning service contracts in accordance with business requirements and commercial objectives.

• Prepare, review and maintain contract documentation, schedules, service scopes and supporting records.

• Negotiate contract terms, renewals and variations with suppliers, contractors and relevant stakeholders.

• Monitor contractor performance against agreed service levels, timelines, quality standards and contractual obligations.

• Respond to contract enquiries and resolve service, documentation, pricing and performance issues promptly.

• Coordinate with management, contractors and service providers to ensure contractual objectives are achieved.

• Maintain accurate records of agreements, correspondence, variations, approvals and contractor documentation.

• Analyse contract costs, service data and supplier performance to support commercial decision-making.

• Prepare contract reports, summaries and submissions for management review and operational planning.

• Track contract milestones, expiry dates, renewals, insurance requirements and compliance documentation.

• Review cleaning service specifications and ensure supplier proposals meet operational and quality requirements.

• Assist with tendering, quotations and supplier selection for cleaning and related service contracts.

• Identify contract risks, discrepancies and improvement opportunities, escalating significant matters to management.

• Implement approved contract decisions and follow up required actions with contractors and internal stakeholders.

Applicants must meet the following minimum requirements to be considered for the role:

• Minimum 12 months' recent experience sourcing and administering cleaning service contracts in the same or closely comparable role.

• Extensive knowledge of the cleaning services industry, including contractor sourcing, service requirements, pricing structures and supplier performance.

• Demonstrated ability to prepare, review, interpret and maintain commercial contracts, variations, schedules and supporting documentation accurately.

• Strong negotiation and communication skills for managing contractors, suppliers, clients and internal stakeholders across contract matters.

• Proven ability to monitor service delivery, contractor performance, compliance requirements and agreed contractual obligations effectively.

• Sound analytical skills to review contract costs, service data, supplier performance and identify commercial improvement opportunities.

• High-level organisational skills with the ability to manage contract deadlines, renewals, records, approvals and competing priorities.

• Relevant diploma-level qualification in contract administration, business or a related field, or equivalent substantial relevant industry experience.
