Your New Role

\n

We are looking for an experienced Workshop Service Coordinator to join our team in Rosehill, NSW.

\n

Reporting to the Service Manager, you will provide essential administrative and logistical support to the workshop, working closely with the Workshop Supervisor to ensure jobs are scheduled efficiently and processed smoothly from opening through to invoicing. You will manage the back-office flow of retail jobs, warranty claims, manufacturer campaigns and new machine pre-delivery inspections (PDIs).

Key Responsibilities

• Workshop Coordination: Support the Workshop Supervisor with job scheduling and coordination to maximise workshop efficiency and throughput.
\n
• Sub-contractor Coordination: Schedule sub-contractors for new machine builds and retail jobs.
\n
• ERP & Administration: Create and maintain work orders, manage purchasing, prepare customer quotations and complete retail invoicing accurately and promptly.
\n
• Financial Administration: Ensure labour, parts and sub-let costs are correctly allocated and jobs are closed accurately.
\n
• Parts & PDI Coordination: Liaise with the Parts team to ensure parts are ordered, picked and staged for PDIs, retail jobs, warranties and campaigns.
\n
• Warranty & Campaigns: Manage warranty and manufacturer campaign claims, including submissions, tracking and reconciliation through the manufacturer's online portal.
\n
• Customer Service: Respond to customer enquiries and provide clear, professional updates on job progress, ETAs and any variations to quotations.
\n
• Internal Communication: Provide Sales and other internal stakeholders with accurate updates on machine builds and repair ETAs.

Skills & Experience

\n

\n
• Previous experience in service coordination, service administration or service controller roles, ideally within material handling, heavy equipment or automotive industries.
\n
• Strong experience using ERP or Dealer Management Systems (DMS) for work orders and invoicing.
\n
• Experience processing warranty claims through manufacturer portals is highly regarded.
\n
• Excellent organisational and multitasking skills, with the ability to manage competing priorities in a fast-paced workshop.
\n
• Strong financial awareness, including an understanding of WIP, labour allocations and invoicing.
\n
• Excellent written and verbal communication skills, with confidence liaising with customers and internal stakeholders.
