We are seeking an enthusiastic and experienced Executive Assistant provide high level administrative support to our General Manager/Director of Clinical Services (GM/DCS) and to the leadership team at our Werribee campus.

ABOUT YOUR NEW ROLE:

\n

This is a permanent part time role, working 30 hours a week across 5 days.

\n

The successful applicant will have demonstrated experience as an executive assistant and will bring a professional attitude and excellent attention to detail.

\n
\n

You will be responsible for managing the GM/DCS’s schedule as well as overseeing the coordination of various activities and events across the entire Werribee site. You will also be required to foster relationships with key stakeholders across the hospital.

\n

\n As the executive assistant to the GM/DCS your responsibilities will include:

\n

\n
• Managing a complex and constantly changing diary, including meetings, appointments, site visits and external commitments.
\n
• Co-ordination of administrative tasks to ensure the smooth running of the Executive office
\n
• Manage meeting requirements, prepare meeting agendas, packs and associated documents as well as minuting of various meetings
\n
• Monitoring of emails ensuring action items are followed up appropriately
\n
• Providing support as required to the Werribee leadership team.
\n
• Managing confidential and sensitive information with a high level of discretion.
\n
• Acting as an effective liaison between the General Manager, Executive Team, staff, VMOs and external stakeholders.

ABOUT YOU:

\n

As an outstanding executive asssistant your skills will include:

\n

\n
• Previous experience as an executive assistant, personal assistant or senior administrative professional, preferably within healthcare or a complex organisation
\n
• Exceptional time management and the ability to prioritise tasks
\n
• The ability to anticipate the needs of the GM/DCS and Executive team
\n
• Strong interpersonal skills and the ability to maintain professional relationships.
\n
• Excellent written and verbal communication skills.
\n
• Demonstrated ability to work independently
\n
• High level of communication and interpersonal skills
\n

REQUIREMENTS:
