Job description

About us:

WGA is an Australian and New Zealand company like no other - we are owned by the employees, loved by our long‑term clients and have deep roots in our communities. With a team of over 700 people, WGA provides a rich, diverse, and empowered workplace, and offers you a chance to work alongside some of the best in the business.

WGA offers an outstanding working environment that fosters and supports mutual learning, respect, dignity, cultural openness, and an appreciation of differing perspectives and backgrounds. We strive to offer inspiring career paths and a selection of fantastic employee benefits. If you enjoy a great office environment, excellent flexibility and the long‑term benefits that only a private organisation can offer, then WGA might be for you!

We deliver tailored design engineering solutions across the Buildings, Transport, Water Infrastructure, Urban Development, Ports and Marine, Energy, Defence and Resources sectors. We empower our engineers to think outside the square and dare to be different.

About our approach:

We focus upon the core philosophy of delivering excellent engineering solutions for our valued Clients which allows us to create exceptional, long‑term opportunities for our talented personnel. Our unique style of project delivery ensures that our people don't have to choose between maintaining hands on Technical and corporate career options, they can have both!

About our Role:

Our Melbourne office needs a friendly and proactive Office Administrator to keep things running smoothly day‑to‑day. This role plays a key part in maintaining an efficient, welcoming, and well‑organised workplace.

You will manage daily office operations, handle incoming and outgoing correspondence, and provide general administrative support to staff. The ideal candidate is proactive, approachable, and detail‑oriented, with strong computer skills.

You’ll work closely with our wider Melbourne and national Administration team to provide consistent, high‑quality support across the office. If you take pride in keeping things running seamlessly and supporting a collaborative team environment, we'd love to hear from you.

About you:

To be successful in this role, you’ll need to demonstrate:

  • Warm, professional communication skills (written and verbal), with confidence answering phones and greeting visitors
  • Previous experience in an office administration, receptionist, or customer service role (or the willingness to learn in a supportive team)
  • Strong computer skills, including confident use of Microsoft Office (Outlook, Word, Excel and Teams)
  • A genuine service mindset and the ability to build effective relationships with a range of stakeholders
  • Excellent organisation and time management skills, with the ability to juggle reception tasks, office needs and administration requests
  • Good judgement and attention to detail, with a practical approach to problem solving
  • Flexibility and a team‑first attitude, with the ability to support meeting room bookings, office supplies, and general team administration as needed

About working with us:

At WGA we believe a diverse workplace fosters unique and progressive ideas and drives our culture of learning and sharing knowledge. We encourage all to apply because whatever your background you can progress your career and enjoy the benefits that only a privately owned organisation can offer.
