Job description

You are the primary point of contact for patients, visitors and external stakeholders. You will provide highly competent and professional reception services face-to-face, via phone, or through virtual care portals. You will coordinate bookings, referrals, and clinic waitlists using Cliniko software and other information management systems, maintain accurate patient demographics and clinical records, process billing and invoicing in accordance with Medicare, NDIS, or private health fund requirements, and provide operational support including coordinating meeting schedules, preparing presentations, managing community travel schedules for clinicians, and assisting with data reporting.

Key responsibilities

Provide frontline reception services face-to-face, via phone, or through virtual care portals to patients, visitors and external stakeholders

Coordinate bookings, referrals, and clinic waitlists using Cliniko software and other information management systems

Maintain accurate patient demographics and clinical records, ensuring strict adherence to confidentiality and privacy policies

Develop consent forms and agreements, with quotes and email these out to relevant stakeholders

Process billing, invoicing, and admissions/discharges in accordance with Medicare, NDIS, or private health fund requirements

Coordinate meeting schedules, take minutes at team meetings, and prepare presentations

Manage community travel schedules for clinicians

Check on balances and capacity of funding for future billings and assist with data reporting

Assist with administrative tasks as delegated by clinicians

About you

Proven clerical or administrative experience, preferably within a healthcare or clinical setting

A minimum of 1-2 years healthcare administration experience from any healthcare setting

High-level interpersonal skills with the ability to communicate clearly with diverse stakeholders, including parents, families and patients

Proficiency in the Microsoft 365 suite and experience with contemporary hospital information systems (e.g., Cliniko)

Demonstrated ability to prioritise tasks in a fast-paced environment while maintaining a high level of accuracy and attention to detail

Police check and blue card required for this position
