Job description

MILSPEC Energy Solutions is a growing Australian contractor delivering specialist services across the transmission, distribution and electrical infrastructure sectors. Working with utility providers, renewable energy developers and major infrastructure clients, we deliver complex projects safely, efficiently and to the highest industry standards.

As our business continues to grow, we are seeking a motivated and organised Office & Business Administrator to join our team at our North Lakes office.

This is a hands‑on administration role suited to someone who enjoys variety, takes pride in keeping things organised and is happy to assist wherever needed. You will play an important part in supporting the day‑to‑day operations of our office, coordinating fleet and business requirements, and providing general administrative assistance across the company.

This is a full-time, office-based position, Monday to Friday, 8:30am – 4:30pm.

About the Role

Reporting to the People & Business Services Manager, you will be responsible for providing day‑to‑day administrative and operational support to ensure the smooth running of MILSPEC's office and business activities.

Working closely with our People, Finance and Project teams, you will assist with a broad range of administrative tasks, fleet coordination, purchasing and general office requirements.

Key responsibilities include:

Managing general office administration, including emails, phone enquiries, correspondence and document management.

Coordinating day‑to‑day office requirements, including stationery, kitchen supplies, consumables and general office upkeep.

Assisting with fleet administration, including vehicle registrations, servicing, maintenance bookings, insurance records and fuel cards.

Maintaining accurate fleet, equipment and business registers.

Coordinating employee uniforms, PPE, workwear and equipment orders.

Raising purchase orders and assisting with supplier enquiries, quotes and order tracking.

Liaising with suppliers, service providers and external contractors as required.

Assisting with invoice processing, filing and general finance administration when required.

Maintaining electronic records, spreadsheets and company documentation.

Providing general administrative assistance to the People & Business Services, Finance and Project teams.

Assisting with employee onboarding administration and the preparation of general business documentation.

Coordinating office facilities, maintenance requests and other operational requirements.

Supporting the implementation and improvement of administrative processes.

Assisting with ad hoc administrative tasks and general business support as required.

About You

You are a friendly, reliable and organised individual who enjoys working in a team and is comfortable managing a variety of administrative tasks.

You don't need to know everything from day one, but you will need to bring a positive attitude, attention to detail and a willingness to learn.

To be successful, you will ideally have:

Previous experience in an administration, office support or similar role (preferred but not essential).

Good computer skills, including Microsoft Outlook, Word and Excel.

Strong organisational skills and attention to detail.

Clear written and verbal communication skills.

The ability to manage competing priorities and follow tasks through to completion.

A proactive approach and willingness to assist across different areas of the business.

Confidence communicating with employees, suppliers and external stakeholders.

The ability to work independently while also being part of a supportive team.

A professional, approachable and reliable attitude.

A willingness to learn new systems and processes.

Previous experience with fleet administration, purchase orders, Xero, SharePoint or working within a construction or trade-based business will be highly regarded; however, training and support will be provided to the successful candidate.

Qualifications & Experience

The following are desirable:

Previous administration or office support experience.

Certificate III in Business Administration or a related qualification (not essential).

Experience using Microsoft Office applications.

Current Australian Driver Licence.
