About the role
We are seeking a Bookings Consultant to join our team at Downs Nursing Agency in Toowoomba, Queensland. This is a full-time position that plays a crucial role in the day-to-day operations of our agency. As a Bookings Consultant, you will be the vital link between our pool of healthcare professionals and our healthcare facility clients, managing bookings, schedules, and ensuring seamless placements that meet the needs of both parties. This role is essential to maintaining our reputation for reliable, high-quality staffing solutions and directly impacts client satisfaction and overall staff wellbeing.
40 hours per week, worked in accordance with the roster and operational requirements
8 hour shifts, with start times varying between 6:00am and 11:30 am, and corresponding finish times between approximately 12:30pm and 20:00pm
Weekend work, including Saturdays and Sundays, will be required as part of the roster. Weekend penalty rates will apply, with weekday hours adjusted accordingly to ensure the employees contracted weekly hours are maintained.
On-call responsibilities are an expected component of the role. Generally rostered for on-call duties once per week, however, additional on-call shifts may be required to provide coverage during annual or sick leave.
Flexibility in relation to working hours and rostered is expected to ensure appropriate staffing coverage is maintained.
Key responsibilities
- Processing and managing nursing/assistant in nursing staff bookings through phone, email, and booking management systems
- Coordinating shift schedules and communicating booking confirmations to both healthcare professionals and facilities alike
- Responding to client inquiries promptly and professionally, addressing any staffing needs or changes with a positive attitude
- Maintaining accurate records of bookings, cancellations, and staff availability in the booking system
- Handling booking modifications, cancellations, and emergency staffing requests with efficiency
- Building and maintaining positive relationships with both healthcare staff and facility managers
- Assisting with administrative tasks including data entry, filing, and general office support as required
What we’re looking for
Highly desirable; experience in a bookings, scheduling, or customer service role, ideally within healthcare, nursing, or agency staffing. Familiarity with the healthcare or aged care facilities.
Strong organisational and time management skills with the ability to juggle multiple booking requests and priorities simultaneously
Excellent communication skills, both written and verbal, with the ability to interact professionally
A customer-focused approach with genuine commitment to delivering high-quality service
Attention to detail and strong accuracy in systems bookings entry and record-keeping
Reliability, punctuality, and a professional demeanour
