We’re growing, and we’re looking for an experienced Senior Spare Parts Sales Coordinator to join our team and play a key role in strengthening our parts operations and supporting our customers across Australia.
As the Senior Spare Parts Sales Coordinator, you’ll take ownership of managing customer enquiries, quotations, and sales orders for spare parts, ensuring accurate information, timely supply, and seamless communication across customers, warehouse, procurement, and field service teams.
You’ll also provide coaching, technical guidance, and day‑to‑day oversight to Spare Parts Sales Coordinators, helping build capability, consistency, and confidence across the team.
This is a hands‑on, fast‑paced role suited to someone who thrives on problem‑solving, technical detail, and building strong internal and external relationships.
What you'll be doing
- Act as the escalation point for complex or high‑impact spare parts enquiries, ensuring issues are resolved efficiently and aligned with business priorities.
- Identify, quote, and process parts orders accurately in the ERP system (Microsoft Dynamics 365), following Normet processes.
- Coach and support Spare Parts Sales Coordinators in interpreting parts manuals, engineering drawings, and technical documentation to improve accuracy and capability.
- Oversee the team’s delivery of accurate lead times, availability, and pricing, ensuring decisions support commercial and margin objectives.
- Follow up on open quotes to drive conversion and customer engagement.
- Maintain strict updates on customer backorders, improving service levels and DIFOT, and providing regular reporting.
- Build strong relationships with customers, service technicians, suppliers, and internal teams.
- Work closely with warehouse and procurement to confirm availability, replenishment, and order status.
- Mentor coordinators to strengthen cross‑department communication and operational alignment.
- Support coordination between sales, service, and engineering teams to ensure smooth communication flow.
- Assist in stock control activities, including slow‑moving and obsolete parts management and maintain accurate order, pricing, and customer data in ERP and CRM systems.
- Provide urgent after‑hours spare parts sales support on pre‑determined roster.
- Provide strategic oversight of non‑genuine spare parts sourcing, coaching coordinators on supplier evaluation and procurement processes while working closely with supply chain to uphold quality, compliance, and pricing standards.
What you'll bring
4+ years in spare parts coordination or internal sales (mining / heavy equipment ideal)Strong technical aptitude; ability to interpret drawings and parts manualsExperience with ERP systems (Dynamics 365 preferred)Proven ability to coach, mentor, and support team membersExcellent communication, customer service, and problem‑solving skillsStrong attention to detail and ability to work under pressureSolid understanding of logistics, procurement, and supply chain processesMechanical or automotive trade background or industry experience preferred, supporting confident guidance on technical enquiries and part identificationExcellent communication and customer service skills, with a proactive and solution‑focused approach.Self‑driven and results orientated with a high attention to detail and strong organisational skills.Flexibility to be part of the after‑hours spare parts sales roster.The successful candidate must have full working rights in Australia, be able to pass a pre‑employment medical, and obtain a National Police Clearance before commencement.
