We are looking for a proactive and professional Support Officer to be the first point of contact and the engine behind the scenes at our Sydney National Office. In this varied and rewarding role, you'll deliver high-quality reception, administration, and concierge support, helping our office run smoothly and efficiently, with a strong focus on quality to support business operations and objectives.
Your main duties will include :
- Work in conjunction with other Support Officers to provide receptionist services, including answering and directing incoming phone calls and welcoming of visitors to the Calvary National Office.
- Deliver customer-orientated administrative support services to ensure the effective operation of National Office.
- Coordinate administrative functions to support National Office, such as purchasing and reconciliation, scheduling meetings, hospitality and catering, to ensure the best use of time and budget.
- Collect, distribute and send mail for the National Office within the required timeframes.
- Maintain and update stock levels in both kitchen areas and print room regularly, ensuring supplies are replenished as needed.
- Coordinate meeting room bookings. Set up for external meetings, clear and maintain meeting room set-up.
- Attend to building maintenance matters as required.
- Maintain records and databases to comply with records management processes, ensuring information is accurate, accessible and stored correctly.
- Process access passes and photo identification cards for all National Office staff.
- Provide support services in relation to event management activities of the Executive Office.
About you
- Experience in providing high level reception, co-ordination and administrative services.
- Excellent written and verbal communication skills.
- Proven ability to maintain professionalism and confidentiality while providing high-quality customer service to both internal and external stakeholders.
- Excellent attention to detail and strong organisational skills, with the ability to manage competing priorities effectively.
- Ability to work effectively both autonomously and collaboratively in a team environment.
- Proficiency in Microsoft Office applications and other business systems.
- Commitment to working within and promoting the Mission and Values of Calvary.
Desirable
- Tertiary qualifications in a Business / Administration or related field.
- Experience in the health care sector
