Role :

Our client is seeking a part time Submissions Coordinator to join their creative and well rounded team to actively coordinate and prepare tender submissions including Expressions of Interest (EOIs), Capability Statements, Requests for Proposal (RFP), Fee Proposals and Client Presentation collateral. As part of

the Marketing team, you will also provide an essential support role in our strategic business development initiatives to assist with the conversion of project opportunities.

Responsibilities :

  • Coordinate and manage the submission process from end to end.
  • Review tender briefs to identify and create or source high quality content to support successful submissions.
  • Collaborate with the Submission team to determine winning strategies and key messaging aligned with the company's competitive positioning
  • Prepare and review submission content, including company information, project sheets, fee tables, resumes, written copy and supporting graphics and / or imagery
  • Ensure all submissions are prepared and issued on time, with a high level of accuracy and presentation.
  • Manage the submission InDesign file and supporting collateral in the relevant project folder
  • Ongoing maintenance and development of our submissions content library and templates in collaboration with the Brand Manager.
  • Prepare client presentations and supporting pitch collateral, printed and digital.
  • Actively provide feedback to Senior Leadership team on submission outcomes and implement continuous improvement initiatives to increase our success rate per submission.
  • Ensure all collateral and content is developed and produced using in house graphic programs and approved templates.
  • Participation in our weekly Business Development meetings, taking minutes, tracking and reporting progress to the Senior Leadership team
  • Assist in the research of upcoming Business Development and / or submission opportunities that are in line with our current business strategy.
  • Support the Director of Strategy + Transformation with adhoc Marketing, Business Development and the like tasks as directed.

The Successful Candidate :

  • Minimum 3 years’ experience in coordinating and producing submissions in design or like industry
  • High proficiency in Microsoft Office and Adobe Creative Suite programs, specifically InDesign (Advanced)
  • Excellent communication skills both written and verbal.
  • Creative with advanced graphic design capability
  • Attention to detail and ability to meet multiple deadlines in a fast-paced environment.
  • Strong interpersonal and stakeholder coordination skills
  • Proven ability working autonomously and as an effective member of a team
  • An understanding of the built environment and design concepts is advantageous
  • A passion for learning and continuous improvement.
  • Capacity to maintain confidentiality in all aspects of work.
  • Degree in Architecture, Interior Design, Marketing, Graphic Design or related field is preferable.
