Job Description

The Operations Manager is responsible for overseeing and managing the daily operational (non-centralised) activities across the Saints Academy sites in conjunction with the Centre Directors. You will ensure processes are efficient, resources are utilised effectively, and quality standards are maintained. This role requires strategic planning, leadership, and a commitment to educational excellence to ensure legal and safety requirements for people and property are met.

Maintains an active involvement in a local Christian evangelical fellowship.

Attends and participates in staff devotions and prayer meetings.

Participates in professional development relating to the philosophy and practice of Christian Education.

Key Responsibility Areas

Point person to liaise with Central Office divisional leaders and staff.

Collaborate with the Central Office division to ensure organisational objectives and group strategic plans are met and executed in the Entity.

Fundraising.

Managing logistical aspects of routine centre operations.

Ensure compliance with all legal, statutory, and administrative requirements related to health and safety, fire regulations, other licenses, and buildings.

Monitor and support Centre Directors in meeting National Law, National Regulations, and NQF Quality Areas (particularly QA2 Children's Health & Safety, QA3 Physical Environment, and QA7 Leadership and Governance).

Ensure policies, procedures, and risk management systems align with Regulation 168 requirements.

Support Head of Saints Academy to prepare for Assessment & Rating and departmental compliance visits.

Maintain oversight of incident, injury, trauma and illness records and ensure reporting obligations to the Regulatory Authority are met.

Advising on all Health & Safety matters, including measures in the event of emergencies.

Appraise projects for centre development.

Oversee the security, maintenance, cleaning, and other general site services within the centres.

Monitor the work of on-site contractors with the Centre Directors.

Monitor and oversee the quality of work by contractors, caretakers and cleaning staff.

Ensure the best use of premises non-educational personnel and manage their hours, pay, and project claims.

Support Head of Saints Academy to ensure adequate risk assessments for centre activities are formulated and implemented.

Ensure the Centre Directors liaise with the Registrars on practical elements such as Open Days and structuring new enrolment initiatives.

Ensure the Centre Director manages transport and bus logistics for excursions.

Ensure supplies for centres are ordered in a timely manner.

Maintain inventory of centre equipment and technology resources (Asset Register).

Support Centre Director's emergency / first-aid preparedness and supplies management, including coordination and documentation of centre-wide emergency drills.

Support Head of Saints Academy with staff rostering and ratio compliance.

Working With Children Checks and other clearance requirements.

Ensure professional development and induction programs are documented and aligned with NQF expectations.

Maintain a compliance calendar for audits, inspections, and required submissions (e.g., NQAITS notifications).

Act as the delegated PRODA representative, including responsibility for registering leaders, conducting prohibited person checks, and managing the addition or removal of Responsible Persons in NQAITS.

Work with the Head of Saints Academy to ensure childcare subsidy compliance (CCMS / CCS) utilising our childcare management system.

Participate in hiring and training of administrative staff.

Provide data-informed insights to support optimal child-educator ratios and efficient entity resource deployment.

Collaborate with education and operations teams as needed to ensure optimal operation.

Provide support and oversight for site-specific projects and initiatives.

Team Leadership and Capability Building.

In conjunction with the Head of Saints Academy, collaborate with centres to develop a strong service culture and site engagement.

Strengthen capability and consistency across Centres and collaborate with Central Office teams through training, shared tools, and alignment.

Foster a core values-aligned culture that is transparent, responsible, and strategic.

Key Performance Indicators

Educational Excellence.

Support the Head of Saints Academy in enabling the delivery of educational excellence by aligning operational planning and resourcing with student-centred priorities and entity strategies.

Stewardship Excellence.

Strengthen stewardship by embedding controls, assisting the Central Office in improving financial and operational processes, and optimising the use of assets and resources. Includes successful implementation of systems and processes, clear reporting, and transparency in entity performance.

Thriving Staff.

Build a culture of support and capability within the Saints Academy Entity, ensuring teams are well-resourced, developed, and integrated with entity needs. Includes positive collaboration with the Saints Academy leaders and the Central Office.

Advancement and Development

The Operations Manager will, in conjunction with Central Office staff and the Executive Director, assist in planning and due diligence for new initiatives, major projects, and operational expansion. They will enable sustainable investment in innovation, infrastructure, and new growth opportunities through the Central Office Division.

Community Transformation. The Operations Manager will contribute to SPCE's Christ-centred mission by providing sound operational governance and enabling responsible resource stewardship that benefits students, staff, families, and the wider community.

Essential Qualifications and Skills

Demonstrated experience in operations, including a senior leadership role. (Required).

Proven ability to manage change initiatives.

Strong leadership and capability-building experience across distributed teams.

Skills and Experiences

Professional certificate in facility management or relevant fields.

Project management certification.

First Aid / CPR certification.
