What’s the role?
As the Executive Assistant, you will provide comprehensive support to our General Manager, Data, Digital and AI Enterprise Functions, ensuring the seamless execution of all administrative and operational processes. This role may also extend to offering general support to the leadership team as needed.
Key Responsibilities will include :
- Diary Management : Efficiently manage the General Manager, Data, Digital and AI Enterprise Function's schedule, coordinating internal and external meetings, ensuring thorough preparation with necessary documents, travel arrangements, and break times. Proactively manage follow-ups on outstanding business issues.
- Inbox Management : Oversee and prioritize emails based on urgency and importance, ensuring timely responses and proper filing.
- Collaboration : Work closely with the Business Manager and EAs across the broader Technology domain and network as required.
- Travel and Expense Management : Handle travel arrangements, expenses, and processing of accounts, payments, and reimbursements in a timely and compliant manner via internal IT systems.
- Executive Support : Provide bespoke administrative, operational, and organizational support to a high-profile Executive Leader.
- Event Management : Support with event management, including team offsites, town hall meetings, and other gatherings as required.
- Stakeholder Engagement : Address various business-related requests from key internal and external stakeholders.
What do I need?
To be successful in this position you should have previous experience supporting General Manager level Executives within a large-scale corporate setting with matrix reporting structures (e.g. Information technology, Banking, Consulting). You should be adaptable and able to work in an agile, fast paced environment.
Other key skills and experience required include :
Exceptional people and relationship management skills.Advanced diary and email management expertise, underpinned by advanced computer literacy (e.g. MS Office : Word, PowerPoint, Excel, and Teams).Extremely high attention to detail with excellent planning and organisation skills.Experience coordinating events, meetings, travel arrangements, expenses and accommodation.Excellent verbal, written, and interpersonal expertise and able to communicate effectively at all levels.Proven ability to operate in a busy and dynamic EA capacity supporting C-Suite Executives and working towards deadlines and with competing demands.Why join us?
