We are seeking an experienced service booking office to be responsible for the coordination of service work ensuring scheduling and a high level of customer service is provided at all times.

The successful candidate will be able to perform these key General Responsibilities :
Uphold a zero injury, preventative management OH&S culture by promoting safety in the workplaceProvide a high standard of customer service and company representationAssist and support the Service Manager, as necessary, including coordinating the timely and effective functions for the Service Division and wider company as requiredAttend meetings as required and where necessary, attend and assist any special group meetingsAny other duties and responsibilities assigned within the individuals skills, abilities and qualificationsOther Responsibilities include :
Coordinate all service bookings.Organise service technician’s daily schedules and communication updates with customersProvide support to all Service Technicians in the field and ensure they are complying with Company policies and procedures.Entering of sales leads and service bookings in the CRM in accordance to Company procedure and in response to Service Technician’s field notes for follow-up actionsBack up front of house customer service and provide support for priority bookingsEnsure that Company policies and procedures are adhered to when dealing with priority warranty call back to site issues providing a high level of customer service at all times.Work with Service Manager, Warehouse Supervisor and Service Technicians on all motor warranty returns and jobs delayed awaiting supplier parts; whilst providing a high level of proactive communication with customersAttention complaints relating to services in coordination with the Service ManagerEffective use of the Verizon (or equivalent) vehicle monitoring fleet system including accurately noting times spent on jobs, cross-referencing against Service Technician timesheet records and job chargesAssist with enquiries through phone calls, emails and walk in customersAny other administrative duties as required by the Service Manager including drafting desk-top based service quotes when you have the training to do soDay to day processing of all administrative documentation system or paper based for the Service Division of the business, including finalising invoice information inclusion and checking stock allocationAssist Service Manager with toolbox agendas, minutes and other service training documentationOther duties as directed by Management and consistent with the employee’s skills and abilitiesSkills :
Minimum of 2 years’ experience working in a similar positionHigh level of written, oral and interpersonal skillsAbility to work as an individual and in a team
