Administrator / Client Services Assistant - Accounting Firm

Our fantastic client are a dynamic & social boutique Accounting Practice whom have a huge focus on customer service and are currently going from strength to strength. They work with a range of clients from simple wage tax returns through to small / medium sized businesses & everything in between and absolutely love what they do & the clients they work with.

They currently have a great opportunity for an Administrator to join this close-knit & friendly team within a varied & busy role. It's a great opportunity to be an integral part of the team whilst they are going through an exciting growth phase in their business.

What's on offer? A great role within a friendly team in a paperless office environment close to lots of fantastic cafes for that morning coffee or delicious lunch. They are happy to pay for a car park if you are driving in and although preference is for full-time hours they are also happy to consider those looking for around 30 hours a week as well.   • Duties include but are not limited to
  • Reception duties
  • Greeting customers & booking appointments
  • Providing exceptional customer service to clients
  • Replenishing coffee machine, water, etc and making coffee / tea as required
  • Checking incoming mail and scanning as required
  • Document and Workflow Management / Jobflows
  • Lodging various tax documents with the Australian Tax Office
  • Collating various tax documents to be sent to clients & tracking status
  • Preparing tax invoices for clients
  • Ensuring company database & clients details are up to date
  • Liaising with third parties including ATO as required
  • Assisting with organising events & seminars
  • Manage workflow to ensure all deadlines are met
  • Managing debt collection with clients
  • Managing ASIC company secretarial
  • Attending to business name registrations & renewals
  • General office duties including housekeeping tasks
  • General Administrative assistance to the team to assist in the smooth running of the day to day office
  • Ad hoc tasks when required
  • Requirements
  • 3+ yrs experience within a Reception / Administration / Client Services position previously
  • Prior experience having worked within an Accounting firm environment / professional services highly regarded
  • Enjoy meeting & greeting clients upon arrival
  • Handle confidential information professionally & with discretion
  • Tech savvy and comfortable working in a paperless environment
  • Practical experience dealing with relevant third parties & systems highly regarded (Ie : ATO, ABR, ASIC, XPM (Xero Practice Manager), Nowinfinity, SuiteFiles, Seamlss)
  • Intermediate skills in MS Suite - Outlook, Word, Excel
  • Professionally presented with excellent communication skills - Written & Verbal
  • Be punctual, dependable and well organised with day to day tasks.
  • Have initiative and be pro-active with excellent organisational skills.
  • Able to prioritise workload & keep staff informed of where tasks are at.
  • Have excellent attention to detail & accuracy with data entry
  • Ability to multi-task and work well to deadlines
  • Team player with a friendly disposition that is passionate about customer service
