About the role
The School of Management are currently seeking an experienced and highly motivated Executive Support Officer to join the team. In this role you will play a pivotal role in delivering high-quality administrative and executive support within the School . You will responsible for managing complex diaries, coordinating domestic and international travel arrangements, and ensuring timely and accurate financial processing, including reimbursements and procurement support. Further to this, you will also provide professional administrative assistance to the School Executive Committee members, contributing to the smooth operation of the School’s daily activities.
A key function of the position is to support the planning and delivery of School events, meetings, and workshops, working closely with internal and external stakeholders to ensure seamless coordination and effective communication. You will exer cise sound judgement, initiative, and discretion while managing competing priorities in a fast-paced and dynamic academic environment.
In this dynamic and varied role, you’ll :
Provide high-level, confidential executive support
Ensure timely and accurate financial processing, including reimbursements and procurement support
Manage communications, projects, diaries, events and office operations
Liaise with senior leaders, internal stakeholders and external partners
Drive continuous improvement in systems, processes, and service delivery

To be successful in this position, you will have :
Proven ability to independently manage complex calendars and coordinate schedules for senior leaders, using sound judgement, discretion, and a proactive approach to resolve scheduling conflicts and prioritise competing demands.
Demonstrated ability to plan and manage domestic and international travel, including itineraries, approvals, and bookings, and to process related expenses accurately in accordance with financial and travel policies.
Experience in preparing and reconciling financial transactions such as purchase orders, staff reimbursements, and procurement card acquittals, with the capacity to monitor budgets and ensure compliance with financial procedures.
Proven capacity to independently manage a broad range of administrative tasks including document preparation, records management, minute-taking, and maintaining data and filing systems with accuracy and confidentiality.
Demonstrated ability to plan and deliver events or meetings of varying scale, including logistics coordination, stakeholder communication, and liaising with internal service teams and external vendors.
Strong interpersonal skills with the ability to engage effectively with a wide range of stakeholders, draft professional correspondence and briefing documents, and communicate clearly and diplomatically.
Demonstrated ability to use various presentation tools, software applications, including Microsoft Office Suite, and the ability to pick up new digital skills.
Proven ability to contribute to a positive and high-performing team culture, support colleagues during peak periods or staff absences, and build strong working relationships across organisational units.
