The RoleReporting to the Executive Assistant, this role provides administrative support to the Marketing & Trading Team by organising and coordinating a variety of tasks.
With the return of international travel, there has been an increase in both customers visiting Western Australia as well as the Marketing & Trading team visiting our overseas customers. In conjunction with the manager, this role will play an integral part of the planning and execution of intense travel itineraries as well as international customer delegations.
This vacancy is to cover an internal secondment and is a fixed term period for 12 months.
- Key responsibilities are
- Support the Executive Assistant and Marketing & Trading Team with daily administrative tasks- Manage the shared administrative mailboxes and respond to any urgent requests in a timely and professional manner- Create purchase orders and process invoices for the Marketing and Trading department in SAP in a meticulous and timely manner- Assist in arranging predominately domestic travel and accommodation, including preparation of travel itineraries for the Marketing & Trading team- Co-organise international & domestic customers' delegation visits to Western Australia together with the Executive Assistant- Facilitate the Growers Study Tour along with the Executive Assistant & Corporate Affairs Team- Preparation, coordination and minutes taking for weekly Marketing & Trading Risk Management Meetings- Plan, coordinate and follow up on engagement functions, conferences, and other Marketing & Trading internal events along with the Executive Assistant- Assist with Senior Managers' monthly credit card reconciliations (when required)- Assist in the preparation of documents and presentations for the wider Marketing and Trading Team (when required)- General adhoc administrative tasks for the wider Marketing & Trading Team
- Skills and Experience
- Minimum 3 years' experience in administration- Highly proficient in Microsoft Office- High attention to detail, proactive attitude and problem-solving ability- Excellent written, oral communication and interpersonal skills- Ability to work within, and contribute to a small high performing team- Ability to multi-task and work calmly and effectively under pressure in a challenging and fast-paced environment- SAP purchasing knowledge and event management exposure highly desirable
