About the Role
Provides executive support that enables effective operations and the smooth running of the office of the two functional Chiefs through the provision of secretarial and administrative support services.

It’s an exciting time at icare where no two days are the same; as an Executive Assistant you will :
Represent the chiefs by obtaining and conveying information to internal and external stakeholders including liaison with senior levels of government and agencies and the private sector.Coordinate follow up action for the chiefs using discretion, initiative and confidentiality to enable highly sensitive matters to be dealt with appropriately.Manage the functional chiefs diary and the broader team as required, screens requests for appointments from internal and external sources, negotiates appointment times and resolves diary clashes to ensure that matters of an urgent or sensitive nature are given priority and makes optimal use of the chiefs time.Prepare all financial department documents for the chiefs and manage business plans, seasonal calendars and strategy documents.Provide administrative and coordination support for events and meetings including logistics.Adhoc support when required, including onboarding new starters, travel arrangements, greet team’s visitors, draft and prepare correspondence, agendas, minutes and reports.Skills & Experience
A broad range of experience in executive support in a corporate environment – financial services industry – highly regardedSuccessful completion of relevant tertiary qualifications in administration or equivalent skills acquired through practical experience – highly regardedBoard governance experience – highly regardedStrong organisational and time management skills, ability to forward plan and prioritiseExcellent diary and calendar management for multiple managersStrong experience with dealing with key stakeholders (internal & external)Confident and excellent people skills – working with different styles and personalitiesHighly proficient in Microsoft Office, Teams and VisioAbility to navigate an organisation and network with teams and stakeholders to achieve outcomesCulture
